Role Overview

We are looking for a
agile and detail-oriented Event Production & Operations Executive
with
1–2 years of experience in an event agency
, with hands-on exposure to managing
large-scale events with a footfall of around 500 attendees
.

Key Responsibilities

1. End-to-End Event Production
- Plan, coordinate, and execute events from pre-event planning through post-event closure.
- Prepare event execution plans, production schedules, checklists, timelines, and run-of-show documents.
- Coordinate event requirements including stage setup, branding, fabrication, décor, AV, lighting, sound, LED screens, furniture, signage, and other production elements.
- Conduct venue/site visits and ensure readiness before the event.
- Coordinate setup, rehearsals, technical checks, live execution, and dismantling.

2. On-Ground Event Execution
- Take ownership of on-ground event operations and ensure smooth execution.
- Manage events with a footfall of approximately
500 attendees
.
- Coordinate guest registration, seating, hospitality, crowd movement, event flow,



and other operational requirements.
- Ensure all event elements are executed as per approved plans, timelines, and quality standards.
- Handle last-minute challenges and resolve operational issues effectively during events.

3. Vendor Coordination & Management
- Coordinate with event agencies, fabricators, decorators, AV vendors, caterers, photographers, security, logistics partners, and other service providers.
- Obtain quotations and coordinate with vendors for timely delivery of materials and services.
- Monitor vendor performance, quality, timelines, and adherence to agreed deliverables.
- Coordinate vendor documentation, work orders, invoices, and payment follow-ups with relevant internal teams.
- Build and maintain strong relationships with event production vendors.

4. Event Planning & Logistics
- Coordinate venue requirements, permissions, manpower, transportation, hospitality, equipment, and other logist
