About the Role

We are looking for an experienced Payroll Specialist with hands-on experience in Canadian Payroll processing and compliance. The ideal candidate should have robust knowledge of end-to-end payroll processing, statutory deductions, federal and provincial payroll requirements, payroll reconciliations, employee payroll records and Canadian payroll reporting.

The candidate will be responsible for ensuring accurate and timely payroll processing while maintaining compliance with applicable Canadian payroll requirements and supporting year-end payroll activities.

Key Responsibilities

- Process end-to-end payroll for Canadian employees accurately and within defined timelines.
- Process regular payroll, overtime, bonuses, commissions, allowances, deductions, and other payroll adjustments.
- Calculate and validate applicable statutory deductions, including CPP, EI, and income tax.
- Ensure accurate payroll calculations based on employee compensation, benefits, leaves, and other payroll inputs.
- Process new hires, employee changes, promotions, salary revisions, transfers, and terminations.
- Maintain accurate and confidential employee payroll records.
- Review payroll inputs and identify missing, incorrect or inconsistent information before payroll processing.
- Perform payroll reconciliations and investigate discrepancies between payroll, HR and accounting records.
- Prepare payroll reports and supporting schedules for Finance, HR and management.
- Support payroll accounting, including payroll journal entries and reconciliation of payroll-related accounts.
- Support preparation and review of T4, T4A, ROE and other applicable payroll documentation.
- Manage payroll-related queries from employees and internal stakeholders and ensure timely resolution.
- Coordinate with HR, Finance and other internal teams to ensure accurate payroll inputs and timely processing.




- Support payroll audits and provide required payroll reports, records and documentation.
- Maintain appropriate payroll controls and ensure payroll information is accurate and complete.
- Monitor changes in Canadian payroll legislation and support the implementation of relevant payroll updates.
- Assist with year-end payroll reconciliation and reporting activities.
- Identify opportunities to improve payroll processes, controls, reporting, and operational efficiency.

Key Software ADP, Ceridian Dayforce, Workday, UKG, SAP SuccessFactors, QuickBooks Payroll, Wagepoint, Microsoft Excel, Google Sheets; experience with other Canadian payroll platforms will also be considered.

Payroll & Compliance Knowledge

Canadian Payroll, CRA, CPP, EI, Federal Payroll, Provincial Payroll, Income Tax Withholding, T4, T4A, ROE, Payroll Reconciliation, Payroll Accounting, Payroll Reporting, Year-End Payroll, Payroll Compliance, Employee Payroll Records, Payroll Audits, Payroll Controls, Canadian Payroll Legislation.

Qualifications & Skills

- Bachelor's degree in Commerce, Accounting, Finance, Human Resources, Business Administration, or a related field.
- PCP, CPM or equivalent Canadian payroll certification will be preferred.
- 3–8 years of relevant experience in Canadian Payroll, Payroll Operations or Payroll Administration.
- Solid hands-on experience processing Canadian payroll.
- Good understanding of Canadian federal and provincial payroll requirements.
- Strong working knowledge of CPP, EI and income tax withholding.
- Experience handling payroll adjustments, employee changes, deductions and benefits.
- Experience with payroll reconciliations and payroll accounting.
- Hands-on experience with T4, T4A, ROE and year-end payroll activities is preferred.
- Strong Microsoft Excel / Google Sheets skills.
- Excellent numerical accuracy and attention to detail.
- Strong analytical and problem-solving skills.
- Excellent written and verbal English communication skills.
- Ability to maintain confidentiality while handling sensitive employee and payroll information.
- Ability to manage multiple payroll deadlines and work effectively with HR and Finance teams.
