Key ResponsibilitiesA. Recruitment & Manpower Planning
- Understand manpower requirements from different departments.
- Prepare and circulate manpower requisitions.
- Source candidates through job portals, references, agencies, and other channels.
- Screen resumes and shortlist suitable candidates.
- Conduct preliminary interviews and coordinate department interviews.
- Maintain interview assessment records.
- Coordinate salary discussion and candidate selection.
- Prepare offer/appointment-related documentation.
B. Employee Joining & Onboarding
- Coordinate the complete joining process of selected employees.
- Collect and verify required joining documents.
- Prepare employee personal files.
- Generate employee code/ID as per company procedure.
- Complete joining forms and HR documentation.
- Conduct HR induction and explain company rules, policies, attendance, leave, and working hours.
- Coordinate with concerned departments for employee allocation.
C. Employee Personal Files & Records Maintain updated employee records including:
- Application/Resume
- Interview Assessment Form
- Aadhaar/PAN and other applicable documents
- Educational certificates
- Previous employment documents
- Offer/Appointment Letter
- Salary details
- Bank details
- Emergency contact details
- Leave and attendance records
- Performance/disciplinary records
- Training records
- Exit documents
D. Attendance & Leave Management
- Monitor daily employee attendance.
- Maintain attendance records for all departments/shifts.
- Track late coming, absenteeism, overtime, weekly off, and shift changes.
- Maintain leave records and leave balances.
- Coordinate attendance corrections with department heads.
- Prepare monthly attendance data for payroll processing.
E. Payroll Coordination
- Prepare and verify monthly payroll inputs.
- Provide attendance, overtime, leave, incentives, deductions, new joining, and exit details to payroll/accounts.
- Verify salary calculations and resolve discrepancies.
- Maintain salary-related employee records confidentially.
- Coordinate with Accounts for timely salary processing.
F. Employee Relations
- Address employee queries and HR-related concerns.
- Maintain good communication between employees and management.
- Support grievance handling and disciplinary procedures.
- Maintain records of warnings, notices, and disciplinary actions.
- Assist management in resolving employee-related issues.
G. HR Policies & Compliance
- Implement company HR policies and procedures.
- Ensure employees follow attendance, leave, discipline, safety, and workplace rules.
- Maintain required statutory and HR records.
- Coordinate with management/consultants regarding applicable labour-law compliance.
- Ensure HR documentation is complete and up to date.
H. Performance Management
- Coordinate employee performance appraisal activities.
- Collect appraisal forms from department heads.
- Maintain performance records.
- Support probation confirmation and performance review processes.
- Prepare performance-related reports for management.
I. Training & Development
- Identify training requirements with department heads.
- Coordinate employee training and induction programs.
- Maintain training attendance and records.
- Collect employee feedback after training where required.
J. Employee Exit Process
- Receive resignation/exit requests.
- Coordinate notice period and department clearance.
- Prepare exit/interview documentation.
- Coordinate full and final settlement with Accounts.
- Collect company assets, ID cards, uniforms, documents, and other items.
- Prepare relieving/experience documents as per company policy.
- Update employee records and manpower status.

L. HR Administration
- Maintain HR registers and files.
- Issue HR letters and certificates as authorized.
- Maintain confidentiality of employee information.
- Coordinate with Administration, Security, Accounts, Production, and other departments.
- Support implementation of HR SOPs and management instructions.
1. Daily HR Activities
- Check attendance and absenteeism.
- Monitor manpower availability.
- Handle employee queries.
- Coordinate recruitment and interviews.
- Update employee records.
- Process joining and exit documentation.
- Follow up on pending HR documents.
- Coordinate with department heads regarding manpower requirements.
- Prepare daily/monthly HR reports.
1. Required Skills
- Positive communication and interpersonal skills.
- Strong documentation and record-keeping ability.
- Good knowledge of MS Excel and MS Word.
- Basic knowledge of payroll and attendance systems.
- Knowledge of recruitment and employee onboarding.
- Good coordination and problem-solving skills.
- Ability to maintain confidentiality.
- Ability to handle multiple HR activities simultaneously.
1. Educational Qualification
Minimum: Graduate in any discipline. Preferred: MBA/PG Diploma in Human Resources, MSW, or equivalent HR qualification.
1. Experience
Preferred: 1–3 years of experience in HR operations, preferably in a manufacturing/industrial organization.

- Attendance and payroll input accuracy.
- Timely completion of joining and exit formalities.

- Reduction in absenteeism and employee turnover.
- Timely completion of appraisal and training activities.
1. Authority & Responsibility
- Responsible for maintaining accurate and confidential employee records.
- Responsible for timely completion of HR processes.
- Authorized to coordinate HR activities as per company policy.
- Must escalate serious employee, disciplinary, compliance, or manpower issues to the HR Manager/Management.
- Shall not disclose confidential salary or employee information without authorization.
