Purpose of Job (WHY the Job Exists?)

Operational:

To manage day-to-day Accounts Payable activities, vendor accounting, bank reconciliation, TDS and GST compliance, and other finance-related activities accurately and within defined timelines.

Strategic:

To ensure timely and accurate booking of vendor invoices and payments, proper reconciliation of accounts, compliance with applicable tax requirements, and availability of complete documentation for audits.

Reports To: Finance Manager / Finance Head

Internal Stakeholders:

Supply Chain & Procurement, Production, Warehouse, Sales HR & Administration, Finance Team and other ARMOR-IIMAK India Departments.

External Stakeholders:

Vendors and Suppliers, Banks, Tax Consultants, Auditors, Government / Tax Authorities,

ARMOR-IIMAK Asia / Group teams (as required).

Value Addition / Accountabilities / Key Performance Areas (The Results to be Delivered)

- Ensure accurate and timely booking of vendor invoices.
- Ensure vendor invoices comply with applicable GST requirements.
- Ensure vendor payments are processed accurately and within agreed timelines.
- Ensure proper accounting of freight, clearing and import-related expenses.
- Maintain accurate vendor advances and ensure timely adjustment against invoices.
- Ensure transactions are booked under the correct GL, cost centre and employee/vendor codes.
- Complete bank reconciliations accurately and on time.
- Ensure timely payment to MSME vendors and maintain the MSME vendor records.
- Complete TDS workings, challans and periodic returns within statutory timelines.
- Ensure timely GST reconciliation and return filing support.
- Maintain proper documentation for statutory and financial audits.
- Support new item costing and other finance activities as assigned.

Responsibilities / High Payoff Activities that Support the Above Accountabilities

1. Accounts Payable & Vendor Accounting

- Book domestic and import vendor invoices accurately and on time.
- Verify vendor invoices for applicable GST requirements and supporting documents.
- Ensure invoices are booked under the correct GL,



cost centre and employee/vendor code wherever applicable.
- Process and book domestic and import vendor payments.
- Coordinate with SCM for freight and clearing invoices relating to import purchases.
- Ensure freight and clearing invoices are booked before monthly costing.
- Reconcile freight provision GL and identify outstanding/unadjusted balances.
- Review vendor advances and follow up with SCM/vendors for submission of invoices and adjustment of advances.
- Maintain proper vendor accounting records.

2. Bank Reconciliation

- Prepare and complete bank reconciliation.
- Identify and follow up on unreconciled bank transactions.
- Ensure timely clearance and accounting of outstanding items.

3. MSME Vendor Compliance

- Monitor vendor payment due dates.
- Ensure payments to MSME vendors are processed within the applicable timelines.
- Obtain and maintain relevant MSME declarations/certificates from vendors.
- Support preparation of MSME-related reports and information whenever required.

4. TDS Compliance

- Prepare monthly TDS workings and reconcile TDS with the respective ledger.
- Generate TDS challans through the Income Tax portal.
- Ensure timely payment of TDS within the applicable due dates.
- Prepare quarterly e-TDS workings.
- Coordinate with consultants/auditors for TDS-related requirements.
- Maintain supporting documents and records for TDS compliance and audit purposes.

5. GST Compliance

- Support monthly and annual GST compliance.
- Prepare GSTR-1 workings and tax liability with books of accounts.
- Prepare GSTR-3B workings after reconciliation with GSTR-1.
- Reconcile Electronic Credit Ledger with ITC GL and GSTR-2B.
- Identify differences between purchase register and GSTR-2B.
- Follow up with SCM for invoices appearing in the purchase register but not in GSTR-2B.
- Follow up on invoices appearing in GSTR-2B but not recorded in the purchase register.
- Maintain GST reconciliation records and supporting documents.
- Support annual GSTR-9 filing.

6. Audit Support & Documentation





- Maintain finance and accounting documents required for internal, statutory and group audits.
- Keep vendor invoices and supporting documents readily available for audit.
- Maintain records of payments made against vendor invoices.
- Provide supporting documents and reconciliations requested by auditors.
- Assist in resolving audit queries within agreed timelines.
- Ensure proper filing and retention of financial records.

7. Recent Item Costing

- Support new item costing.
- Collect relevant material, freight, clearing and other cost inputs.
- Coordinate with SCM and other departments for required costing information.
- Maintain costing records and supporting documents.

8. Reconciliation & Reporting

- Perform vendor account reconciliations as required.
- Monitor outstanding invoices, advances and provisions.
- Prepare monthly AP and tax-related reports.
- Follow up on pending accounting and reconciliation items.
- Ensure accurate and timely submission of finance reports to the reporting manager.

9. Internal Controls & Compliance

- Follow company finance policies, accounting procedures and approval processes.
- Ensure proper supporting documents are available before accounting/payment processing.
- Maintain confidentiality of financial and vendor information.
- Identify accounting discrepancies and escalate them to the reporting manager.
- Support implementation of finance process improvements and internal controls.

Qualifications

Education / Technical Skills

- Bachelor's degree in Commerce, Finance, Accounting or a related field.
- Good knowledge of Accounts Payable and general accounting.
- Working knowledge of GST and TDS compliance.
- Good knowledge of MS Excel.
- Experience with SAP/ERP accounting systems preferred.
- Good understanding of bank and ledger reconciliation.

Experience: Minimum 2–4 years of relevant experience in Finance & Accounts.
