Role - Executive Assistant
Location: Mumbai, BKC
Reports to: The Director
About the Role
This is not a diary-management role. We are looking for an Executive Assistant who operates as a business extension of the Co-Founder someone with commercial instinct and a genuine business mindset, who can hold context across the roup's priorities, form an independent point of view, and take decisions in the Co-Founders absence rather than wait for instruction.
You will sit at the centre of the Co-Founder ;s office: shaping the agenda, preparing the thinking that feeds key business decisions, driving follow-through with senior stakeholders, and protecting the Co- founders time for what only they can do. Executive coordination is part of the job. Judgement is the point of it.
What You Will Own
Business & Strategic Support
- Build deep context on the group's businesses, priorities, numbers and key relationships and use it to anticipate what the o-Founder needs before being asked.
- Research, analyse and structure information into decision-ready inputs: business reviews, competitive scans, market notes and option papers.
- Prepare leadership and board presentations, MIS and executive summaries that carry a recommendation, not just data.
- Represent the Co-Founder's office in internal discussions; take positions and make judgement calls on routine matters without escalating every item.
- Support special projects and new business initiatives end to end — from framing the problem through to execution.
Governance & Follow-Through
- Run the Co-Founder's operating rhythm — business reviews, leadership meetings and recurring cadences.
- Attend meetings,
capture decisions and Minutes of Meeting, and then drive closure: hold senior leaders to their deadlines and commitments.
- Maintain a live view of open actions, risks and slippages across business units, and escalate what genuinely needs the Co-Founder's attention.
- Track action items and follow-ups to timely closure across internal teams, clients and partners.
Executive Operations
- Own the calendar as a priority-allocation tool — protect time for what matters most and make trade-off calls on competing demands.
- Manage travel, itineraries, appointments and day-to-day logistics with zero friction.
- Coordinate with internal teams, clients, partners, investors and senior external stakeholders on the Co- Founder's behalf.
- Handle confidential business, financial and personal-professional matters with complete discretion.
What We Are Looking For
- 8–15 years supporting senior leadership — as an Executive Assistant, Business Assistant, Executive Coordinator, Chief of Staff or Business Manager to a Founder, Promoter or CXO.
- A business mindset above all: you understand how the business makes money, you are comfortable with numbers, and you form your own view rather than routing every question upward.
- Demonstrated ownership beyond administration — projects you have run, analyses you have built, decisions you have influenced.
- Strong analytical and presentation skills, with real command of PowerPoint and Excel — you build the deck and the model, not just format someone else's.
- Excellent written and verbal communication; credible in a room with senior leaders, clients and partners.
- Exceptional organisation, multitasking and follow-up discipline in a fast-paced, often ambiguous environment.
- High maturity, professionalism and discretion — this role sees everything.
- Strong attention to detail and the ability to work independently with minimal direction.
This Role Is a Solid Fit If
- You have been the person a Founder or CXO calls first.
- You are equally comfortable with a board deck and a travel itinerary, and do not consider the second beneath you.
- You want proximity to how a group is actually run, and see this as a path into a broader business role.
It Is Not a Fit If
- You are looking for a purely administrative, calendar-and-travel role.
- You need detailed instructions before you can begin work.
- You want a fixed remit and fixed hours.
What Success Looks Like in the First 12 Months
- The Co-Founder's time is demonstrably reallocated toward the highest-value priorities.
- Nothing committed in a meeting is dropped — follow-through is systematic rather than reactive.
- Leadership reviews and business decks are prepared with minimal input and carry your own analysis.
- Internal and external stakeholders treat the Co-Founder's office as a reliable and decisive point of contact.
