Position Summary
We are seeking an experienced Executive Assistant & Estate Manager to support the Resident Head and oversee the day-to-day operations of Rupani House, a privately owned residential property.
The role combines executive assistance, estate management, staff supervision, vendor coordination, and administrative oversight . The position requires discretion, strong organizational skills, and the ability to independently track and close pending matters.
Key Responsibilities
Executive Assistance
- Manage calendars, appointments, travel, correspondence, and personal administration.
- Arrange domestic and international travel, including visas, hotels, transport, and itineraries.
- Track deadlines, renewals, follow-ups, and confidential records.
- Prepare letters, presentations, meeting notes, and reports.
- Coordinate with bankers, CAs, lawyers, and other professional advisors.
- Maintain physical and digital records, as well as household documentation.
Estate & Property Management
- Oversee building maintenance, utilities, common areas, and preventive maintenance.
- Manage tenants, leases, rent collections, renewals, and resident queries.
- Supervise vendors across electrical, plumbing, civil, fire safety, IT, pest control, and other services.
- Monitor AMC/service contracts and ensure timely completion of work.
Staff, Security & Operations
- Supervise housekeeping, security, gardening, drivers, and maintenance staff.
- Manage attendance, rosters, leave, and staff-related administration.
- Oversee CCTV, access control,
and building security protocols.
- Coordinate emergency response and remain available for urgent matters when required.
Financial & Administrative Management
- Track rent, utilities, vendor payments, and operating expenses.
- Prepare budgets, expense statements, and periodic operational reports.
- Maintain invoices, contracts, warranties, and statutory records.
Resident Services
- Coordinate couriers, deliveries, reservations, travel, and ticketing.
- Assist with guests, hospitality, and events at the property.
Experience & Qualifications
- 5+ years of experience in estate/property management, facilities, hospitality, executive assistance, or family office administration.
- Experience working with private residences, business owners, or HNW families is preferred.
- Excellent written and spoken English; working knowledge of Hindi required. Marathi is an advantage.
- Proficiency in Word, Excel, PowerPoint, and Outlook .
- Familiarity with AI tools is an advantage.
- Strong attention to detail, confidentiality, ownership, and ability to work independently.
