Brief of Role : The Grants & Financial Reporting Officer will be responsible for financial management of donor-funded projects, budgeting, grant monitoring, utilization reporting, donor compliance, and management reporting. The role requires close coordination with Program Teams, Finance, Auditors, and Donor/CSR partners to ensure timely and accurate financial reporting and compliance with Donor requirements.
Stakeholders
Relationship (within organization) : Manager & Program Leads
Relationship (Outside Organization) : Donor Officials/Auditors/Bankers/Statutory Authorities, etc.
Required Skills
- Strong knowledge of Accounting Principles and Financial Reporting.
- Excellent Budgeting and Grant management skills.
- Knowledge of donor compliance requirements and project accounting.
- Working knowledge of CSR-funded projects and development sector financial reporting.
- Familiarity with FCRA accounting and reporting will be an added advantage.
- Good understanding of statutory compliances- TDS, GST, and Income Tax provisions applicable to NGOs.
- Proficiency in MS Excel (Advanced), Tally Prime/ERP, and Microsoft Office.
- Strong analytical, documentation, communication, and coordination skills.

- Experience in managing multiple grants simultaneously.
- Ability to work independently with minimum supervision.
- Strong attention to detail and commitment to meeting reporting deadlines.
- Excellent interpersonal and stakeholder management skills.

- Preparation and presentation of MIS Reports
Key Responsibilities
- Prepare project budgets, annual budgets, and budget revisions in coordination with Program Teams.
- Monitor grant-wise budgets, expenditures, commitments, and fund utilization
- Prepare donor-wise Utilization Certificates (UCs), Statements of Expenditure (SoE), financial reports, and supporting schedules.
- Coordinate with Statutory Auditors/Internal Auditors for certification of Utilization Certificates and donor financial reports.
- Prepare monthly, quarterly, and annual MIS reports for Management and Head Office.
- Ensure compliance with donor agreements, CSR grant conditions, FCRA guidelines (where applicable), and internal financial policies.
- Monitor project-wise fund balances, burn rates, and budget variances, and provide timely analytical reports.
- Coordinate with Accounts Team for proper accounting, reconciliations, supporting documentation, and ledger scrutiny.
- Assist in statutory audits, donor audits, internal audits, and financial due diligence.
- Maintain grant files, donor documentation, financial records, and audit-ready supporting documents.
- Support preparation of Annual Operating Plans (AOP), financial forecasts, and management presentations.
- Liaise with Program Teams to ensure timely submission of financial information and supporting documents
- Preparation of Income & Expenditure Account, Balance Sheet & Cash flow statement for the each Program/Company, wherever required.
- Train the Program team members on raising awareness and knowledge of Organization Policy/SOPs for smooth adherence of Statutory compliances
Experience:
- Minimum 3 to 5 years of experience in NGO/Development Sector Accounting & Finance function
- Experience in handling CSR-funded and donor-funded projects is mandatory.
- Experience in preparing Utilization Certificates, donor financial reports, grant accounting, and MIS reporting is essential.
Qualifications:
- Qualified CA/ICWA with 3-5 years of experience
OR
- Qualified CA/ICWA-Inter/MBA Finance with 4-5 years of experience
