About the Role

We are looking for a highly organised, proactive and dependable Executive Assistant to the CEO who can help the CEO operate effectively across multiple priorities, people and commitments.

This is not just a calendar-management or administrative role.

The Executive Assistant will function as an execution and coordination partner to the CEO—managing his schedule and communication, preparing him for meetings, tracking delegated responsibilities, coordinating with leadership and ensuring that decisions, commitments and follow-ups do not get lost.

The role requires a high degree of trust, discretion, judgement and ownership.

Key Responsibilities1. CEO Calendar & Priority Management

- Own and manage the CEO's calendar across internal meetings, external meetings, calls, appointments and organisational commitments.
- Structure the CEO's schedule around business priorities rather than simply accepting meeting requests.
- Identify scheduling conflicts and resolve them proactively.
- Ensure adequate preparation time, travel time and buffers around important commitments.
- Provide the CEO with clear visibility of upcoming meetings, deadlines and priorities.
- Protect the CEO's time by appropriately prioritising and routing requests.

2. CEO Communication & Inbox Management
- Organise and manage the CEO's email and key communication channels.
- Identify communication requiring immediate attention, delegation or follow-up.
- Draft emails, responses, notes and professional correspondence on behalf of the CEO where required.
- Coordinate communication between the CEO and internal or external stakeholders.
- Ensure important messages are acknowledged and responded to within appropriate timelines.
- Maintain confidentiality and professional judgement while handling sensitive communication.

3. Delegation & Follow-Through
- Maintain a structured system for tracking tasks,



decisions and responsibilities delegated by the CEO.
- Follow up with responsible team members and stakeholders until closure.
- Track commitments by owner, deadline and status.
- Escalate delays, unresolved dependencies or blockers requiring the CEO's intervention.
- Provide concise updates to the CEO rather than requiring him to independently follow up with multiple people.
- Ensure verbal instructions and meeting decisions are translated into documented action points.

4. Leadership Team Coordination
- Act as a coordination point between the CEO and members of the leadership team.
- Coordinate leadership meetings, reviews and strategic discussions.
- Prepare agendas and obtain required reports or information before meetings.
- Document decisions, owners and timelines emerging from leadership discussions.
- Follow up on agreed action points.
- Consolidate relevant information from different functions when required by the CEO.
- Ensure significant developments requiring the CEO's attention are surfaced promptly.

5. Meeting Preparation & Executive Briefing
- Ensure the CEO is adequately prepared for important meetings.
- Compile relevant background information, previous correspondence, reports and documents.
- Prepare concise briefing notes where necessary.
- Create or coordinate presentations and supporting documents.
- Attend selected meetings to capture decisions, action points and commitments.
- Maintain appropriate records of significant meetings and discussions.

6. Travel & Logistics Management
- Coordinate domestic and international travel for the CEO.
- Manage flights, accommodation, local transportation and itineraries.
- Maintain all relevant booking information and travel documentation in an organised manner.
- Handle cancellations, modifications and last-minute requirements efficiently.
- Coordinate travel schedules with meetings and organisational commitments.
- Maintain relevant travel and expense documentation where required.

7. Information & Document Management
- Maintain organised records of important CEO Office documents, correspondence and reference material.




- Ensure important files and information are easily retrievable.
- Coordinate reports, proposals, presentations and business documents required by the CEO.
- Maintain appropriate confidentiality and access controls for sensitive information.

8. Executive Projects & Special Assignments
- Support the CEO on specific strategic, organisational or business initiatives.
- Coordinate projects involving multiple teams or external stakeholders when assigned.
- Conduct basic research, information compilation and documentation where required.
- Take ownership of selected CEO Office initiatives from coordination through completion.

Who We Are Looking For

The ideal candidate will have:

- 1 year of experience in executive assistance, founder's office, administrative coordination, business operations, project coordination or a similar role.
- Excellent written and verbal English communication.
- Strong organisational and time-management abilities.
- Exceptional attention to detail.
- Strong follow-up and task-tracking skills.
- The ability to manage multiple priorities simultaneously.
- Confidence in communicating with senior professionals and stakeholders.
- Strong working knowledge of Google Workspace, including Gmail, Google Calendar, Google Docs, Google Sheets and Google Drive.
- Ability to create structured trackers, documents and presentations.
- Sound judgement while handling confidential or sensitive information.
- Ability to work independently with limited supervision.
- Comfort working in a fast-moving organisation where priorities may occasionally change.

Experience supporting a founder, CEO, senior leader or leadership team would be an advantage.
