Key Responsibilities
1. Employee Lifecycle Management
- Manage HR processes from joining to separation, including recruitment, onboarding, confirmation, transfer, promotion, deputation, resignation, retirement and exit formalities.
- Prepare and maintain appointment letters, confirmation letters, transfer letters, promotion letters, experience certificates and other HR-related correspondence.
- Ensure timely completion of joining and exit documentation.
- Maintain complete and up-to-date personnel files for all employees.
- Ensure confidentiality and security of employee information.
2. Recruitment & Staffing
- Coordinate recruitment activities based on manpower requirements approved by Management.
- Prepare job descriptions and recruitment advertisements.
- Source and screen candidates through appropriate channels.
- Coordinate interviews, selection processes, reference checks and documentation.
- Prepare offer/appointment documentation as per Society policies.
- Maintain recruitment trackers and manpower records.
- Coordinate joining formalities and induction of new employees.
3. Attendance, Leave & Employee Records
- Maintain daily attendance and leave records.
- Monitor late attendance, absenteeism and unauthorized absence.
- Maintain records relating to earned leave, casual leave, sick leave and other applicable leave categories.
- Coordinate attendance and leave inputs with the payroll/accounts team.
- Ensure employee master data is updated accurately in HR systems/registers.
4. Payroll & Benefits Coordination
- Coordinate monthly payroll inputs, including attendance, leave, new joiners, exits, increments,
deductions and other employee-related changes.
- Coordinate with Accounts/Finance for timely and accurate salary processing.
- Maintain records relating to employee benefits and statutory deductions.
- Address routine employee queries relating to salary, deductions, leave and benefits in coordination with the concerned department.
5. Statutory & Regulatory Compliance
- Support compliance with applicable labour laws and statutory requirements.
- Maintain records and documentation required for statutory and internal audits.
- Coordinate with consultants, auditors and statutory authorities whenever required.
- Ensure HR registers, records and employee documentation are maintained properly.
- Keep track of changes in applicable labour regulations and HR-related requirements.
- Support implementation of Management/Society policies and regulatory requirements.
6. HR Policies & Procedures
- Assist in drafting, updating and implementing HR policies, procedures and SOPs.
- Ensure employees are informed about applicable HR policies and procedures.
- Monitor adherence to HR rules, service conditions and internal policies.
- Assist Management in handling HR-related disciplinary matters in accordance with applicable rules and procedures.
7.
Performance Management
- Coordinate employee performance appraisal processes.
- Maintain performance records and appraisal documentation.
- Track probation periods and confirmation reviews.
- Coordinate KRA/KPI and performance review documentation, wherever applicable.
- Support Management in identifying employee training and development requirements.
8. Employee Relations
- Act as a point of contact for employees for routine HR-related queries.
- Maintain positive employee relations and professional communication.
- Assist in resolving employee grievances and escalate sensitive matters to the HR Manager/Management.
- Support employee engagement, welfare and communication initiatives.
- Maintain confidentiality while handling employee concerns and sensitive matters.
9. Training & Development
- Identify training requirements in consultation with department heads.
- Coordinate internal and external training programmes.
- Maintain training calendars, attendance and training records.
- Collect training feedback and maintain relevant documentation.
10. HR MIS & Reporting
Prepare and maintain regular HR reports/MIS, including:
- Employee headcount and manpower position
- Department-wise staff strength
- Attendance and absenteeism
- Leave records
- Recruitment status
- Employee turnover/attrition
- Recent joiners and exits
- Confirmation and probation status
- Training records
- Performance appraisal status
- Retirement/renewal/contract expiry tracking
- Statutory compliance status
- Other HR reports required by Management/Board
