Job Description
The IT Asset Service Management (ITAM-ITSM) Analyst/Specialist is responsible for end-to-end governance of IT assets (hardware, software, cloud resources where applicable) across the full asset lifecycle—from planning and acquisition through deployment, support, optimization, retirement, and disposal—while ensuring that asset data is accurate, auditable, and service-aligned.
Key Responsibilities
- Asset Lifecycle Operational Governance (HAM + SAM)
- Own and execute lifecycle controls for IT assets (request, procurement, deployment, maintenance, transfer, retirement, and disposal), ensuring assets are centrally governed and traceable.
- Maintain accurate asset records (asset ID, assignment, location, status, ownership) and support recurring inventory reviews and reconciliation activities.
- Enforce governance for authorized vs. unauthorized assets and support audit readiness through evidence and reporting.
- Support secure and compliant decommissioning/disposal practices with appropriate logging and documentation in the asset repository.
- Software Asset Management (License Management Compliance)
- Manage software entitlement and usage tracking, support license position visibility, and handle license queries as a first point of contact (where applicable).
- License usage reporting and metering-driven optimization (identify unused licenses, reclaim/reallocate opportunities).
- Coordinate with relevant stakeholders for software movements and retirement controls to ensure registers and repositories remain current.
- CMDB Ownership Alignment Configuration Data Quality
- Ensure asset data is structured for CMDB consumption (accurate CI attributes, lifecycle states, ownership, location, and relationships).
- Partner with ITSM process owners to strengthen CMDB integration with Change, Incident, and Problem Management and enable impact analysis through CI relationships and service mapping.
- Drive CMDB data quality practices (standardized entry, validation, audits,
governance, and access controls).
- ITSM Integration (Service Alignment)
- Embed asset lifecycle events into ITSM workflows (requests, incidents, changes, and problems) to reduce operational risk and improve service outcomes.
- Contribute to cross-functional improvement initiatives that identify gaps in current asset practices, improve data accuracy, tracking, and governance, and align with broader ITSM enhancement roadmaps.
- Reporting, Analytics Power BI Dashboards
- Build and maintain Power BI dashboards that consolidate asset management data from multiple sources (including CMDB and curated repositories) to provide a reliable "single source of truth" for stakeholders.
- Support implementation/ongoing operation of asset management reporting for business users via Power BI (dataset refresh, dashboard usability, stakeholder feedback loops).
- Leverage existing reporting products/apps where relevant (e.g., Global Asset Management Team) and evolve reporting maturity (KPIs, trends, drilldowns, governance).
Key Deliverables / Outcomes
- Clean, trusted asset inventory with lifecycle traceability (deployment to transfer to retirement/disposal).
- Actionable compliance reporting (inventory completeness, audit evidence readiness, unauthorized asset identification).
- CMDB-aligned CI dataset quality improvements (attributes, relationships, governance routines).
- Stakeholder-ready Power BI dashboards integrating multi-source asset data and CMDB inputs.
Required Skills Experience
- ITAM / Asset Lifecycle :
- Solid hands-on experience in IT Asset Management (HAM + SAM concepts),
including lifecycle control, inventory management, tracking, and governance.
- CMDB / Configuration Management :
- Experience working with CMDB concepts: CI attributes, CI lifecycle states, relationships/dependencies, and data governance.
- Ability to translate operational asset data into CMDB-ready structures that support ITSM processes.
- ITSM Process Knowledge
- Working knowledge of ITSM process integration: Incident, Change, Problem, and Request fulfillment alignment with CI/asset data.
- Power BI (Must-Have)
- Power BI development skills: data modeling, Power Query, DAX, dashboard design, KPI definition, and performance optimization.
- Experience integrating multiple sources (e.g., CMDB exports, SharePoint lists, asset tools) into governed datasets and reports.
- Familiarity with report publishing, workspace/app consumption models, and refresh management (gateway/refresh routines as applicable).
- Preferred / Nice-to-Have
- Exposure to SAM tooling and/or automated discovery approaches used for software usage and inventory enrichment.
- Experience supporting audit activities and evidence preparation related to asset controls and asset inventories.
- Understanding of "single source of truth" reporting patterns for enterprise asset repositories and stakeholder dashboards.
Key Metrics (Example KPIs)
- Asset inventory accuracy/completeness (hardware/software coverage and correctness).
- License compliance posture and reharvesting outcomes (unused license identification, reallocation efficiency).
- CMDB data quality (attribute completeness, relationship accuracy, update frequency).
- Dashboard adoption and stakeholder satisfaction.
