Designation

Executive Assistant to Dean School of Liberal Arts

Preferred Educational Qualification

Bachelor’s or master’s degree in liberal arts, Humanities, Social Sciences, English, Psychology, Public Administration, Business Administration, Education, Communication, or a related discipline.

Experience

Minimum 2–3 years of experience in executive assistance, academic administration, office management, project coordination, or administrative support roles, preferably within a higher education institution.

Role Summary

The Executive Assistant to the Dean will provide comprehensive administrative, operational, and coordination support to the Dean in managing academic, research, strategic, and administrative functions of the School of Liberal Arts. The role requires strong organizational, communication, and stakeholder management skills to ensure the efficient functioning of the Dean's Office. The Executive Assistant will serve as a key point of contact between the Dean, faculty, students, university departments, external organizations, and industry and community partners while maintaining the highest standards of confidentiality, professionalism, and operational excellence.

Roles and Responsibilities

Manage the Dean's calendar, appointments, meetings, and travel arrangements.

Coordinate and facilitate communication between the Dean, faculty members, students, university departments, and external stakeholders.

Prepare meeting agendas, minutes of meetings, presentations, reports, and official correspondence.





Track action items arising from meetings and ensure timely follow-up and completion.

Support the planning, implementation, and monitoring of academic, research, administrative, and strategic initiatives of the school.

Maintain confidential records, files, reports, and documentation related to the Dean's Office.

Coordinate faculty meetings, advisory board meetings, workshops, seminars, conferences, guest lectures, and special events.

Assist in accreditation, ranking, compliance, quality assurance, and regulatory documentation processes.

Compile, analyze, and present academic and operational data to support reporting and informed decision-making.

Support budget tracking, procurement coordination, and administrative processes as required.

Facilitate communication and collaboration with academic institutions, industry partners, government agencies, cultural organizations, alumni, and other external stakeholders.

Draft official letters, notices, circulars, memoranda, and internal communications on behalf of the Dean's Office.

Monitor timelines, deadlines, and deliverables for various projects and initiatives undertaken by the School.





Ensure efficient office administration and smooth day-to-day operations of the Dean's Office.

Provide logistical and administrative support for visits, meetings, academic events, conferences, and engagements involving internal and external stakeholders.

Handle sensitive and confidential information with discretion and professionalism.

Support student engagement initiatives, faculty coordination, interdisciplinary collaborations, and institutional activities as required.

Maintain records and databases related to academic, administrative, and operational activities.

Foster effective collaboration across departments to support the strategic objectives of the School of Liberal Arts and the University.

Perform any other duties and responsibilities assigned by the Dean from time to time.

Analytical mindset with attention to detail.

Ability to work independently as well as collaboratively in a agile academic environment.

Familiarity with higher education administration, accreditation processes, and academic governance will be an added advantage.
