: Document Control Engineering Support Specialist (EDMS / Projects)

Key Responsibilities:

1. Tactical Technical Project Document Control
- Set up and maintain document repositories, including metadata structures, numbering systems, and filing protocols
- Proficiency with Procore (targeting replacement of Aconex)
- Manage document intake, version control, routing-workflow, and transmittals
- Perform quality checks, audit and ensure compliance with standards and retention policies (inclusive of but not limited to PHMSA, DOT, BSEE, FERC, environmental records), IP (Intellectual Property) protection.
- Provide user guidance and support for document control processes mainly for Oil Gas Engineering / Construction Projects / Energy Infrastructure Capital Projects including drawings, specifications, contracts, NDA s, regulatory records for wide-ranging scales of projects
- Routine tasks completed within 1 business day; urgent tasks per SLA
- Achieve 98% metadata and filing accuracy
- Always Maintain audit-ready compliance (ISO certification is a plus)

- Complex Issue Resolution (Tier 4 Support)

- Trouble shooting resolve advanced issues related to EDMS, integrations, metadata/taxonomy, permissions, and data migration
- Perform root cause analysis and provide corrective action, lessons learned reports for major incidents
- Coordinate with Project Management, Engineering, Document Controls Centre of Excellence, IT and project stakeholders, other vendors/service providers for data duplication or any other issue resolution,



providing clear status/reporting (RACI alignment as applicable)
- Acknowledge critical issues within 1 4 hours with a defined action plan
- Ensure 95% issue resolution within SLA
- Minimize recurrence through robust corrective actions

- MA / Special Projects Support

- Plan and execute document/data migration and system integrations
- Perform bulk uploads/transfers ensuring alignment with taxonomy, metadata, and access controls
- Validate completeness and accuracy post-migration
- Deliver projects on time as per approved plan
- Ensure zero loss of documents or metadata (validated through audit)
- Maintain zero security breaches during data transfer

- Surge Support for Large Projects

- Provide temporary staffing support during peak project demand
- Rapid onboarding of resources aligned with organizational standards
- Support scaling up/down based on project requirements
- Deploy resources within ~5 business days (as per SLA)

Desired Skills:

- 5 8 years of experience in document control, EDMS, and engineering support services
- Strong experience with EDMS systems and document lifecycle management
- Hands-on experience in CADWorx / piping drawings (for DSS scope)
- Knowledge of metadata, taxonomy structures, and data governance principles

Tools Systems:

- EDMS platforms (e.g., Procore/Aconex, SharePoint, OpenText, etc.)
- CAD tools such as CADWorx
- MS Office Suite (Excel, Word, PowerPoint)
