Project Manager – Medical Conferences

About the Role

Concept Conferences is looking for a Project Manager to lead end-to-end planning and execution of medical association conferences — from client onboarding through to post-event reporting. You'll be the primary point of contact for association boards/committees and will manage vendors, budgets and on-ground delivery.

Key Responsibilities

• Own conference lifecycle: venue selection, budgeting, timelines, vendor coordination (AV, F&B;, travel, printing)

• Manage abstract submission and scientific programme logistics alongside the association's scientific committee

• Handle delegate registration systems, sponsor/exhibitor coordination and CME accreditation logistics where applicable

• Serve as day-to-day client contact for association boards and committees

• Lead on-site execution — staff coordination,



run-of-show management, troubleshooting in real time

• Prepare budgets, track expenses and deliver post-event reports

Requirements

• 3–6 years in PCO/DMC/event management; prior experience with medical/scientific association conferences strongly preferred

• Working knowledge of registration/abstract management platforms

• Strong Excel and budget management skills

• Excellent written and verbal communication — comfortable presenting to association boards

• Willingness to travel for in office events

Nice to Have

• Existing relationships with venues, AV vendors, or hotel banquet teams in India

• Exposure to international conference standards (visa letters, foreign delegate handling)
