Position: Senior Accountant

Department: Finance & Accounts

Reporting To: Director

Employment Type: Full-Time

Salary Offered – 35k to 40k per month

Location – Ghatkopar West, Mumbai

Preferred candidates’ locations – Andheri and Central side

Job Summary The Senior Accountant will be responsible for managing and supervising the day-to-day accounting and finance activities of the organization, including accounts payable, accounts receivable, sales and purchase accounting, banking, payroll, statutory compliance, taxation, expense management, fixed assets, inventory accounting, reconciliations, month-end closing, financial reporting, and audit support.

The role requires strong knowledge of accounting principles, GST, TDS, PF, ESIC, Professional Tax, Income Tax, banking transactions, and financial reporting. The Senior Accountant will ensure that transactions are accurately recorded, payments and collections are processed on time, statutory deadlines are met, and management receives accurate and timely financial information.

Key Responsibilities

1. Sales Accounting & Documentation

- Verify customer credit limits before processing transactions.
- Prepare and verify sales invoices.
- Ensure proper filing and maintenance of sales invoices.
- Process credit notes for sales returns.
- Ensure sales transactions are accurately recorded in the TALLY.

2. Purchase Accounting & GST Verification

- Verify purchase invoices against purchase orders and supporting documents.
- Reconcile purchase orders with supplier invoices.
- Verify GST details of purchase invoices and check applicable records on the GST portal.
- Ensure correct GST treatment and accounting of purchases.
- Enter purchase bills accurately and on time.
- Identify duplicate, incorrect, or incomplete invoices and coordinate for correction.

3. Accounts Payable & Vendor Management

- Maintain accurate vendor master records.
- Verify vendor invoice number, date, amount, GST details, and supporting documents.
- Match invoices with purchase orders, delivery documents, and approvals.
- Obtain necessary management approval before processing invoices.
- Enter approved invoices into the TALLY.
- Prepare vendor payment schedules based on due dates.
- Verify bank balances and fund availability before payment.
- Prepare payment vouchers and NEFT/RTGS documentation.
- Process and release approved vendor payments.
- Update the payment tracker and accounting records.
- Send payment confirmations to vendors.
- Follow up internally on pending approvals and outstanding payments.
- Reconcile vendor statements with the AP ledger and resolve discrepancies.

4. Accounts Receivable & Collections

- Maintain customer master details.
- Generate customer invoices accurately and on time.
- Send invoices to customers and maintain acknowledgment records.
- Record invoices in the TALLY.
- Track invoice due dates and outstanding receivables.
- Follow up with customers for overdue payments.
- Record receipts received through cash, cheque, bank transfer, or other approved modes.
- Allocate receipts against the correct customer invoices.
- Update the collection and receivables tracker.
- Reconcile customer ledgers with bank receipts and customer statements.
- Investigate and resolve outstanding AR discrepancies.

5. Payment Processing & Expense Payments Manage and process approved organizational payments, including:

- Vendor and supplier payments
- Transportation and logistics charges
- Electricity and water bills
- Fuel expenses
- Internet, mobile, and telephone expenses
- Bank charges
- Certification and membership expenses
- Commission payments
- Computer, printer, and IT-related expenses
- Legal and professional fees
- Postage and courier expenses
- Security charges
- Stationery and office expenses
- Tea, coffee, beverages, and other approved administrative expenses
- Vehicle servicing and maintenance expenses




- Statutory contributions and taxes
- Interest, penalties, and other approved financial charges

Ensure that every payment has appropriate supporting documents, authorization, accounting entries, and payment records. 6. General Ledger & Bookkeeping

- Record and supervise daily financial transactions.
- Pass journal entries with appropriate narration and supporting documentation.
- Maintain AP, AR, cash, bank, expense, and other sub-ledgers.
- Verify accounting entries against invoices, vouchers, receipts, and supporting documents.
- Review ledger balances and identify incorrect or unusual entries.
- Pass necessary adjustment and correction entries.
- Prepare and review the monthly trial balance.
- Maintain proper accounting records in accordance with applicable accounting principles and company policies.

7. Bank & Cash Management

- Perform daily/weekly bank reconciliations.
- Investigate and resolve differences between bank statements and accounting records.
- Record bank charges, interest, transfers, deposits, and other banking transactions.
- Prepare and process approved fund transfers.
- Deposit customer cheques and other receipts.
- Manage and monitor petty cash.
- Verify cash transactions and supporting vouchers.
- Prepare daily/periodic cash and bank position reports.
- Conduct periodic petty cash verification and audits.

9. Statutory & Tax Compliance Manage and coordinate timely statutory calculations, payments, reconciliations, and filings, including:

- GST
- TDS
- TCS
- Income Tax
- Advance Tax
- Other applicable statutory liabilities

Key responsibilities include:
- Ensure PF and ESIC compliance within applicable due dates.
- Prepare and file TDS returns and maintain related records.
- Process Professional Tax payments/returns.
- Coordinate Income Tax and Advance Tax requirements.
- Reconcile statutory ledgers with returns and challans.
- Maintain documentation for statutory inspections and audits.
- Monitor changes in applicable tax and accounting regulations.
- Ensure statutory payments and filings are completed within prescribed deadlines to minimize interest and penalties.

10. Employee Expenses & Reimbursements

- Collect employee expense and reimbursement claims.
- Verify bills, supporting documents, and eligibility of claims.
- Check claims against approved company policies and limits.
- Obtain required manager/management approval.
- Process approved reimbursement payments.
- Verify travel and conveyance claims.
- Record expenses under appropriate accounting heads.
- Maintain an expense tracker.
- Prepare monthly expense summaries.

11. Month-End & Year-End Closing

- Ensure all sales invoices, purchase bills, expenses, receipts, and payment vouchers are accounted for before closing.
- Review outstanding AP and AR balances.
- Post accruals, provisions, depreciation, prepaid expenses, and other adjustment entries.
- Complete bank, vendor, customer, and ledger reconciliations.
- Review all ledgers for accuracy and completeness.
- Prepare the monthly trial balance.
- Support to CA for year-end closing and finalization of accounts.
- Coordinate with auditors/consultants/ CA for year-end requirements.

12. Financial Reporting & Analysis Prepare and review periodic financial and management reports, including:

- Cash Flow Statement
- Expense Summary
- Accounts Payable Aging
- Accounts Receivable Aging
- Cash and Bank Summary
- Payroll Summary
- Advances and Receivables Report
- Fixed Asset Report
- Inventory Report

Additionally:
- Analyze revenue versus expenses.




- Review major expense variances.
- Support departmental cost and performance analysis.
- Identify unusual transactions and financial discrepancies.
- Provide financial information and explanations to management.
- Submit periodic reports to management within agreed timelines.

15. Loans, Advances & Other Receivables

- Verify and process approved employee/staff advances.
- Maintain records of advances issued.
- Track and account for recovery of employee advances.
- Verify and process approved vendor/supplier advances.
- Track adjustment/recovery of vendor advances against subsequent invoices.
- Monitor other receivables and outstanding balances.
- Reconcile customer and advance accounts.
- Prepare monthly advances and receivables reports.

Supervisory & Senior-Level Responsibilities As a Senior Accountant, the position is expected not only to process transactions but also to review and control the accounting function. Responsibilities include:

- Review accounting entries and reconciliations.
- Allocate and monitor day-to-day accounting activities.
- Ensure accounting tasks are completed within defined timelines.
- Review supporting documentation before critical payments and accounting entries.
- Identify accounting errors, control gaps, and compliance risks.
- Coordinate with Sales, Purchase, HR, Administration, Operations, and Management for financial matters.
- Coordinate with banks, vendors, customers, auditors, tax consultants, and other external stakeholders as required.
- Escalate significant overdue receivables, payment issues, statutory risks, and financial discrepancies to management.
- Maintain confidentiality of payroll, banking, taxation, and financial information.

Qualification & Experience

- Education: B.Com / M.Com or equivalent qualification in Accounting, Finance, or Commerce.
- Experience: Approximately 5–8 years of relevant accounting experience, with experience independently handling core accounting functions preferred.
- Experience in manufacturing, service, trading, or similar business environments will be an advantage.

Required Technical Skills

- Strong knowledge of accounting principles and bookkeeping.
- Practical knowledge of GST, TDS, PF, ESIC, Professional Tax, and Income Tax compliance.
- Solid understanding of AP, AR, GL, payroll, bank reconciliation, and month-end closing.
- Experience in preparing Profit & Loss Account, Balance Sheet, and other financial reports.
- Proficiency in Tally accounting software.
- Good working knowledge of Microsoft Excel, including formulas, PivotTables, reconciliation, and financial data analysis.
- Familiarity with online banking and government/statutory portals.
- Ability to maintain accurate financial documentation and audit trails.

Pay: ₹30,000.00 - ₹40,000.00 per month
