Job Summary:
Key Responsibilities:Payroll Administration:
- Process bi-weekly/semi-monthly US payroll accurately and on time in coordination with the finance/payroll vendor.
- Maintain employee records related to attendance, leave, and compensation in compliance with US recordkeeping requirements.
- Handle final paychecks and terminations in accordance with state-specific laws.
- Respond to payroll-related queries from employees in a timely manner.
- Coordinate with the finance team for salary disbursement, tax declarations, and reimbursements.
Compliance:
- Ensure compliance with all applicable US federal, state, local laws (FLSA, IRS regulations, state tax laws, etc.)
- Prepare and payroll tax filings (form 941,940, W-2, state/local filings, etc.) as required.
- Keep up to date with changes in US employment and tax legislation and HR best practices.
- Liaise with external auditors and regulatory agencies during inspections or audits.
HR Operations Support:
- Maintain and update employee data in the HRIS system.
- Support in onboarding and offboarding formalities.
- Prepare HR reports and dashboards as required.
- Assist in developing and implementing HR policies and procedures aligned with US labor standards.
- Ensure documentation accuracy for all employee-related records.
Requirements:
- Bachelor’s degree in Human Resources, Business Administration, or a related field.
- 3-6 years of experience in HR operations with solid exposure to payroll and compliance.
- Sound knowledge of US payroll regulations, federal/state tax laws and wage & hour compliance (FLSA).
- Experience with payroll software and HRIS tools (Dayforce).
- Strong attention to detail, organizational, and communication skills.
- Ability to handle sensitive information with confidentiality.
Preferred Qualifications:
- Experience working with outsourced payroll vendors.
- Knowledge of HR analytics and reporting.
- Exposure to US payroll audits and compliance reviews.
