Role & responsibilities
- Plan, coordinate, and monitor end-to-end shipments for both export and import consignments, ensuring timely dispatch and delivery in line with customer and business requirements.
- Liaise with freight forwarders, shipping lines, customs brokers, and clearing agents to arrange sea, air, and land freight bookings at competitive rates.
- Prepare, verify, and process shipping and trade documentation, including commercial invoices, packing lists, bills of lading, certificates of origin, letters of credit, and other export/import compliance paperwork.
- Coordinate customs clearance activities and ensure full compliance with import/export regulations, tariffs, and duties applicable in relevant countries.
- Track shipment status proactively and update internal stakeholders and customers on delivery timelines, delays, or exceptions.
- Manage relationships with third-party logistics providers (3PLs), warehouses, and transporters, negotiating rates and service levels.
- Coordinate with the finance/accounts team on freight cost booking, LC (letter of credit) documentation, and payment terms tied to shipments.
- Maintain accurate records of shipments, costs, and vendor performance, and generate periodic reports for management.
- Resolve shipment discrepancies, damages, or delays by working with carriers, insurers, and internal teams.
- Optimize logistics costs and lead times by evaluating routes, carriers, and consolidation opportunities.
- Ensure proper inventory coordination between warehouse/stock levels and incoming/outgoing shipment schedules.
Support internal and external audits related to trade compliance, customs, and logistics documentation
Preferred candidate profile
- Bachelor's degree in Logistics, Supply Chain Management, International Trade, Business Administration, or a related field.
- 3 to 5 years of hands-on experience in logistics/export-import operations, preferably within a trading, import-export, or freight forwarding company.
- Solid working knowledge of export/import documentation, incoterms, customs procedures, and international trade compliance.
- Experience handling letters of credit (LC) and other trade finance documentation is an advantage.
- Familiarity with freight forwarding, customs clearance processes, and coordination with shipping lines/agents.
- Proficiency in logistics or ERP software (e.g., Tally, or Odoo systems) and MS Office, especially Excel.
- Strong negotiation skills for managing freight rates and vendor contracts.
- Excellent organizational skills with the ability to manage multiple shipments and deadlines simultaneously.
- Strong communication skills to coordinate with international suppliers, customers, and regulatory authorities.
- Problem-solving mindset to handle shipment delays, documentation issues, or compliance discrepancies effectively.
- Knowledge of relevant regional trade regulations (e.g., India customs authorities) is a plus depending on the operating region.
