Job Summary
We are seeking an experienced and proactive Senior Executive - Purchase to oversee domestic and international procurement activities for electronic and mechanical components. The ideal candidate will have strong expertise in import procurement, supplier management, inventory planning, and cross-functional coordination to ensure uninterrupted material availability for production. The role requires in-depth knowledge of import documentation, customs clearance procedures, ERP systems, and procurement best practices.
Key Responsibilities
1. Procurement Management
- Manage end-to-end procurement of electronic and mechanical components from domestic and international suppliers.
- Develop and execute procurement strategies to ensure cost-effective and timely sourcing.
- Ensure uninterrupted availability of materials in line with production schedules.
1. Import Procurement & Logistics
- Handle complete import procurement activities, including supplier coordination, order follow-up, and shipment tracking.
- Coordinate with freight forwarders, Customs House Agents (CHA), shipping lines, and customs authorities for timely clearance of imported materials.
- Monitor shipment status and resolve logistics-related issues to avoid delays.
1. Import Documentation
- Prepare, verify, and manage import-related documentation, including:
- Proforma Invoice (PI)
- Commercial Invoice
- Packing List
- Air Waybill (AWB) / Bill of Lading (B/L)
- Certificate of Origin (COO)
- Insurance Documents
- Other statutory and customs-related documents
- Ensure compliance with DGFT regulations, customs requirements, and import policies.
1. Supplier Management
- Identify, evaluate, and develop reliable domestic and overseas suppliers.
- Build and maintain long-term supplier relationships.
- Conduct supplier performance evaluations and ensure quality, delivery, and service standards are met.

Negotiation & Cost Control
- Negotiate pricing, payment terms, delivery schedules, and contractual agreements with suppliers.
- Implement cost-saving initiatives without compromising quality and delivery.
- Analyze market trends and identify alternate sourcing opportunities.
1. Inventory & Production Coordination
- Monitor inventory levels to maintain optimum stock while minimizing excess inventory.
- Coordinate closely with Production, R&D;, Stores, and Finance teams to ensure timely procurement and smooth material flow.
- Plan procurement based on production forecasts and material requirements.
1. Compliance & Systems
- Ensure procurement activities comply with company policies and statutory regulations.
- Maintain accurate procurement records and reports using ERP systems.
- Possess sound knowledge of:
- ERP Systems
- Import Regulations
- Incoterms
- HSN Codes
- DGFT Procedures
- Customs Compliance
Required Qualifications:
- Bachelor's Degree in Engineering, Commerce, Supply Chain Management, or a related field.
Experience:
- 510 years of relevant experience in procurement, preferably in the electronics, manufacturing, industrial automation, or engineering industry.
- Proven experience in handling international procurement and import operations.
Required Skills
- Strong knowledge of domestic and international procurement processes.
- Expertise in import documentation and customs clearance procedures.
- Excellent negotiation and vendor management skills.
- Hands-on experience with ERP systems
- Positive understanding of Incoterms, HSN classification, and DGFT regulations.
- Strong analytical, planning, and problem-solving abilities.
- Excellent communication, coordination, and interpersonal skills.
- Ability to manage multiple priorities and work under tight deadlines.
