JOB PURPOSE:
The Cost and Tendering Executive supports DIFM's facilities management business across the UAE by providing supervisory oversight of hard and soft service costing, verifying AMC and On-call costing accuracy, compiling tender submissions, and sending a weekly costing and tendering analysis to senior management from the Kochi back office.
KEY RESPONSIBILITIES:
• Track FM tender opportunities across UAE government and private-sector portals, and maintain an updated tender pipeline register.
• Provide supervisory oversight of cost estimations for hard services (MEP, civil, HVAC) and soft services (cleaning, pest control, landscaping, manpower), coordinating and validating inputs from site and technical teams (hands-on technical costing is not required).
• Oversee AMC (Annual Maintenance Contract) and On-call service costing, verifying that inputs and calculations are accurate before finalisation.
• Develop pricing models covering labour, material and subcontractor rates, overheads and margin, in line with DIFM's costing framework.
• Compile technical and commercial bid documents, ensuring completeness against tender terms and submission deadlines.
• Coordinate with Operations, Procurement and Business Development teams in Abu Dhabi and Dubai to gather site-specific data and vendor quotations for costing.
• Benchmark rates against historical bids and market data to support competitive, realistic pricing.
• Prepare and circulate a weekly costing and tendering analysis report to senior management.
• Maintain records of submitted tenders and outcomes, and support cost workings for contract renewals and rate revisions.
• Ensure tendering documentation complies with DIG's internal SOPs and applicable UAE regulatory requirements.
KEY PERFORMANCE INDICATORS:
• On-time submission rate and win/conversion rate for tenders.
• Costing accuracy across AMC, On-call and tendered scopes, and timeliness of the weekly management report.
