Role Requirements | Finance Executive
Department: Finance Excellence
Reporting To: Manager / Head Finance
Experience Required: 1-3 Years
Educational Qualification
- Bachelors degree in Commerce, Accounting, Finance, or a related discipline.
- B.Com / M.Com / MBA (Finance) candidates will be preferred.
- Relevant certification in accounting or taxation will be an added advantage.
Experience
- 1-3 years of relevant experience in Accounts, Finance Operations, Accounts Payable, Accounts Receivable, Billing, Collections, or Reconciliation.
- Candidates with experience in the healthcare, diagnostics, service, or multi-branch organization will be preferred.
- Hands-on experience in Tally ERP/Tally Prime and MS Excel is required.
- Exposure to both Payables and Receivables processes will be an added advantage.
Tasks & Activities
1. Invoice & Transaction Processing
- Receive, verify, and validate purchase invoices, bills, supporting documents, and approvals from vendors and internal teams.
- Process purchase invoices in Tally within defined timelines with correct ledger, cost center, tax code, and PO references.
- Verify invoices against PO, GRN, LIMS records, and supporting documents wherever applicable.
- Assist in preparing corporate, partner, and service-related invoices using system-generated data and applicable commercial terms.
- Ensure correct billing logic, GST, discounts, service charges, and other applicable adjustments are considered before invoice finalization.
- Identify discrepancies in invoices, billing, or supporting documents and coordinate with SCM, Operations, Sales, or concerned teams for resolution.
- Ensure all financial entries are supported by appropriate source documents.
1. Accounts Payable & Payment Management
- Process vendor payments as per approved payment schedules and company policies.
- Monitor utility bills such as electricity, internet, rent, and other recurring expenses and ensure timely payment.
- Maintain branch-wise petty cash records and verify physical receipts and supporting documents.
- Process and record employee reimbursements and approved business expenses.
- Coordinate credit card expense approvals, accounting entries, and reconciliation of card transactions.
- Ensure payments are processed within defined cut-off times and avoid late fees or payment-related disruptions.
- Maintain proper vendor-wise payment records and outstanding tracking.
1. Accounts Receivable & Collection Management
- Track daily collections received through Cash, UPI, Card, bank transfers, and other approved modes.
- Validate branch collections against LIMS/system reports and deposit slips.
- Ensure timely deposit of branch collections into designated bank accounts as per company policy.
- Prepare branch-wise collection and deposit reconciliation reports.
- Follow up with branches or concerned teams for delayed, missing, or unreported collections.
- Support monthly invoicing for Corporate, FOFO, POC, HLM, SIS, and other applicable partner channels.
- Record receipts against the correct invoices and maintain accurate payment mapping.
- Track outstanding receivables and support follow-up for pending payments.
1. Bank, Vendor & Debtor Reconciliation
- Perform regular bank reconciliation by matching bank transactions with Tally and system records.
- Map receipts, payments, bank charges, interest, deposits, and other transactions accurately.
- Reconcile vendor ledgers by matching invoices, payments, credit notes, debit notes, and outstanding balances.
- Reconcile debtor ledgers by mapping invoices, collections, TDS deductions, credit notes, and other adjustments.
- Identify mismatches such as unposted receipts, duplicate entries, excess credits, missing transactions, or unreconciled balances.
- Coordinate with banks, vendors, branches, and internal teams to resolve reconciliation differences.
- Maintain date-wise reconciliation sheets and ensure timely closure of open items.
1. Statutory Compliance Support
- Identify and apply applicable GST and TDS requirements while processing invoices and financial transactions.
- Ensure invoices are recorded with correct GST classifications, tax rates, and applicable TDS categories.
- Support TDS deduction and maintain voucher-wise documentation for audit trails.
- Track TDS certificates, acknowledgments, and related documentation received from corporate clients.
- Maintain records required for GST, TDS, expenses, invoices, receipts,
and other statutory requirements.
- Assist the Finance Manager in preparing documentation for internal, external, and statutory audits.
- Maintain compliance checklists and support timely completion of recurring monthly requirements.
1. Billing & Payment Settlement Coordination
- Prepare invoice packages, summaries, supporting documents, and settlement records for applicable business partners and government schemes.
- Support RGHS billing and settlement activities, including preparation of patient lists, bills, summaries, submission records, and payment tracking.
- Maintain submission and approval status trackers for pending settlements.
- Coordinate with concerned teams for clarification, documentation, and resolution of billing or settlement issues.
- Record settlement receipts accurately against respective invoices and ledgers.
- Follow up on delayed approvals and outstanding settlements.
1. Tally, Excel & Finance System Operations
- Record day-to-day financial transactions accurately in Tally and other finance systems.
- Maintain appropriate ledgers, voucher entries, GST/TDS tagging, receipts, payments, and journal entries.
- Use Excel for reconciliation, ageing analysis, payment tracking, collection reports, MIS, and audit summaries.
- Maintain trackers for invoices, payments, collections, outstanding balances, reconciliations, and compliance activities.
- Ensure financial data is accurate, complete, and updated within defined timelines.
1. Document & Storage Management
- Digitize and organize vendor, invoice, payment, collection, reimbursement, utility, statutory, and reconciliation documents.
- Maintain structured digital folders using appropriate year/month/category/partner-wise naming conventions.
- Maintain physical documentation indexes and ensure alignment between physical records and system records.
- Ensure every financial transaction has appropriate supporting documentation.
- Tag and label files for quick retrieval during audits, management reviews, and query resolution.
- Maintain document trackers and ensure 100% audit readiness and accessibility.
