About the role

Care Fast Group is seeking a proactive and organised Facility Coordinator to support our Melbourne-based Operations Team from our Ahmedabad office. The role will coordinate property maintenance, facility requirements, contractor follow-ups, property readiness, compliance records, invoices and operational reporting across the Care Fast property portfolio.

This position suits someone who combines strong administration and communication skills with practical knowledge of facilities, maintenance, property coordination or construction. You will work with Australian stakeholders and must be confident managing follow-ups, records and deadlines independently.

Facilities and maintenance coordination

· Coordinate and monitor maintenance requests across the property portfolio.

· Maintain accurate maintenance trackers from request through to completion.

· Follow up with property owners, builders, contractors and suppliers on outstanding works.

· Record issue details, quotes, approvals, completion dates and outcomes, and escalate delays.

Property readiness and handover

· Support the onboarding of new properties and prepare them for operational use.

· Track occupancy certificates, defects, fire-safety requirements, appliances, furniture, cleaning, landscaping, utilities, NBN and handover documentation.

· Maintain property readiness checklists and provide timely progress updates.

Contractor and supplier coordination

· Prepare professional emails and follow-up communications.

· Maintain contractor and supplier databases and monitor service completion.

· Assist with obtaining quotes,



comparing options and tracking contractor performance.

Financial, compliance and reporting support

· Track maintenance invoices, contractor payments, property expenses and service costs.

· Coordinate invoice approvals and support reconciliation with the Accounts Team.

· Maintain fire-safety certificates, maintenance reports, compliance documents, appliance manuals and contractor records.

· Prepare weekly status reports highlighting pending works, delays, upcoming deadlines and urgent requirements.

Qualifications and experience

· Bachelor’s degree in any relevant discipline (required).

· Bachelor’s degree in Civil Engineering, Construction Management, Building Services Engineering or a related field (preferred).

· 1–3 years’ experience in facilities, property management, operations coordination, administration or a similar role.

· Experience with property maintenance, construction, building services, contractors or property handovers will be highly regarded.

· Experience supporting Australian businesses, bookkeeping, accounts payable or invoice processing is advantageous.

Skills and personal attributes

· Strong written and verbal English communication skills.





· Excellent attention to detail, record keeping and documentation.

· Strong Microsoft Excel skills, including trackers, reporting and data management.

· Proficiency with Microsoft Outlook and Word; experience with Xero, MYOB or QuickBooks is advantageous.

· Proactive, dependable and organised, with strong ownership and follow-up skills.

· Able to manage competing priorities, solve problems and work independently with minimal supervision.

· Comfortable coordinating with Melbourne-based stakeholders and working early morning shifts.

Working hours

Hours are aligned with operations and change with Australian daylight saving:

· October–March: 4:00 AM–1:00 PM (India time).

· April–September: 5:00 AM–2:00 PM (India time).

· Saturday: 7:30 AM–11:30 AM (India time).

Selection process

Shortlisted candidates will complete a practical skills assessment at the Ahmedabad office before proceeding to final interviews. The assessment may cover Excel tracking, written communication, maintenance coordination, document management and prioritisation of operational tasks.

How success will be measured

· Timely follow-up and closure of maintenance requests.

· Accurate property readiness and compliance records.

· Transparent, timely weekly reporting.

· Effective coordination with the Australian Operations Team.

· Accurate invoice and cost tracking.

· Reduced delays during property onboarding.

Pay: ₹30,000.00 - ₹45,000.00 per month
