Role Overview The Court Document Sr. Manager is responsible for overseeing court document reporting, exception management, client delivery validation, and legal data mapping activities. This role serves as the primary liaison between law firms, clients, and internal teams to ensure accurate court document reporting, data integrity, and compliance with state-specific legal requirements.
The position requires strong analytical, research, and relationship management skills, including the ability to review legal documents, research court dockets, and resolve reporting discrepancies.
Knowledge, Skills & Abilities 1517 years of relevant experience in legal operations, court document management, legal research, legal data management, or a related domain. Strong written and verbal communication skills. Strong attention to detail and commitment to data accuracy.
Excellent analytical and problem-solving skills. Ability to manage multiple priorities and complex exception cases in a fast-paced environment.
Strong stakeholder and relationship management skills. Ability to work effectively with law firms, clients, vendors, and cross-functional internal teams.
Strong leadership and team management capabilities. Solid process improvement and documentation skills.
Preferred Knowledge, Skills & Abilities Strong understanding of and ability to communicate effectively with individuals with a U.S. accent. Strong knowledge of court systems, legal filings, judgments, satisfactions, and related court documentation. Ability to interpret state-specific legal procedures and filing requirements. Extensive experience conducting court docket research and document retrieval through online court resources.
Experience working with law firms, legal service providers, clients, or legal operations teams.
Experience managing court document reporting, legal data mapping, or similar legal data processes. Familiarity with public record systems, court websites, docket research tools, and document retrieval platforms.
Experience in process improvement, quality management, reporting, and operational controls. Prior experience managing teams and leading complex legal operations or document management functions. Excellent communication and interpersonal skills, with the ability to interact effectively with clients.
Key Responsibilities Manage court document reporting processes,
ensuring timely and accurate delivery of court-related documents to clients. Review and resolve court document exceptions, prioritizing critical legal documents such as satisfactions, judgments, and other court filings. Coordinate with external law firms to investigate discrepancies, resolve reporting issues, and improve document availability and quality.
Maintain firm-to-client document mapping and validate reporting accuracy across multiple systems. Oversee firm data mapping, including activity tracking, maintenance updates, closure data, and related operational records. Research and interpret state-specific court procedures and filing requirements to determine document availability and reporting standards.
Collaborate with internal stakeholders to maintain and update court document mapping, reporting logic, and data management processes. Conduct detailed reviews of legal documents to ensure proper classification, status reporting, and compliance with client requirements. Utilize court websites, public record systems, and docket research tools to locate case information and obtain court documents when available.
Analyze reporting and data exceptions, identify root causes, and implement corrective actions. Develop and maintain documentation, procedures, and controls supporting court document reporting operations. Drive continuous process improvements to enhance reporting accuracy, operational efficiency, and client satisfaction.
Lead, mentor, and guide team members involved in court document reporting and legal data operations. Monitor operational performance, quality standards, and service-level requirements. Report and escalate critical operational, client, compliance, and data-related issues to the leadership team.
