## About the Role

SecureNova Systems Pvt. Ltd. is looking for an **experienced, commercially strong and result-oriented Purchase & Procurement Manager – IT** to lead end-to-end procurement activities across IT infrastructure, system integration, security, networking and technology projects.

The ideal candidate should have **10 years of relevant procurement experience, strong existing relationships with OEMs, distributors, authorized partners and technology suppliers**, and an in-depth understanding of IT products, market pricing, availability, lead times and commercial negotiations.

The candidate must be capable of **strategic sourcing, aggressive yet professional commercial negotiation, vendor development, cost optimization, project procurement and timely delivery management**.

# 5 NON-NEGOTIABLE REQUIREMENTS The candidate **must demonstrate** the following:

### 1. 10 Years of IT Procurement Experience

- Minimum **10 years of hands-on experience** in Purchase, Procurement, Sourcing or Supply Chain.
- Strong experience specifically within the **IT/Technology industry is mandatory**.

### 2. Strong Existing OEM & Distributor Connections

- Must have established professional relationships with **major IT OEMs, national/regional distributors, authorized channel partners and technology suppliers**.
- Should be able to leverage these relationships for competitive pricing, availability, special pricing and faster delivery.

### 3. Proven Ability to Obtain Competitive Project/Deal Pricing

- Must have the ability to negotiate **project pricing, special bid pricing, deal registration, volume discounts and commercial schemes**.
- Should have a proven track record of achieving competitive purchase prices that support company margins.

### 4. Strong IT Product & BOQ/BOM Knowledge

- Must have practical knowledge of **IT hardware, networking, servers, storage, cybersecurity, software, cloud, surveillance and related infrastructure**.
- Should be capable of understanding **BOQs, BOMs, technical specifications, configurations, compatibility and equivalent/substitute products**.

### 5. Large Corporate / Government / PSU Project Procurement Experience

- Experience handling **large-value corporate, government, PSU, enterprise or system-integration projects** will be strongly preferred.
- Should be comfortable managing urgent, high-value and time-sensitive procurement requirements while maintaining commercial discipline.

# Key Responsibilities

## 1. End-to-End IT Procurement

- Manage the complete procurement cycle from **requirement gathering → vendor sourcing → quotation → negotiation → comparative analysis → purchase order → delivery → invoice coordination → closure**.
- Procure IT hardware, software, networking, cybersecurity, AV/VC, surveillance and related technology products.
- Coordinate with Sales, Pre-Sales, Technical, Execution, Accounts and Management teams.
- Ensure procurement is aligned with project specifications, customer requirements, timelines and approved budgets.
- Ensure timely procurement and delivery of materials for ongoing projects and customer orders.

## 2. OEM & Distribution Network





- Maintain strong relationships with **OEMs, national distributors, regional distributors, system integrators and authorized channel partners**.
- Obtain competitive project pricing, special bid pricing, deal registration and promotional pricing wherever applicable.
- Develop direct and indirect sourcing channels for better pricing and availability.
- Maintain updated knowledge of distributor stock positions, product availability and market pricing.
- Leverage vendor relationships to achieve better **pricing, credit terms, priority allocation and delivery timelines**.
- Develop new OEM/distributor relationships for emerging product categories.

## 3. IT Product & Technology Knowledge

Strong practical knowledge of

- Servers & Storage Solutions
- Laptops, Desktops & Workstations
- Networking – Switches, Routers, Firewalls & Wi-Fi
- Cybersecurity Products & Solutions
- Cloud Services & Software Licenses
- CCTV, Surveillance, VMS & Security Solutions
- AV, VC & Digital Collaboration Solutions
- UPS, Racks & Data Centre Infrastructure
- Printers, Peripherals & IT Accessories
- Structured Networking Products The candidate should be comfortable reviewing **technical specifications, BOQs, BOMs, product configurations and compatibility requirements**.

## 4. Commercial Negotiation & Cost Optimization

- Negotiate pricing, discounts, credit terms, payment terms, warranty, AMC, logistics and delivery conditions.
- Obtain the **best possible purchase price without compromising quality or project requirements**.
- Identify alternative brands/products to improve margins and availability.
- Benchmark market prices across multiple vendors.
- Identify cost-saving opportunities through **volume purchasing, alternate sourcing, rate contracts and strategic vendor partnerships**.
- Support Sales and Management in maintaining healthy project margins.

## 5. Project Procurement

- Handle procurement for **government, PSU, enterprise and corporate IT projects**.
- Study project BOQs, tender requirements and technical specifications from a procurement perspective.
- Ensure procurement is completed within committed project timelines.
- Coordinate with Sales and Execution teams for project-specific procurement planning.
- Anticipate long-lead items and initiate procurement well in advance.
- Track orders until complete delivery and project closure.
- Handle urgent procurement requirements efficiently.

## 6. Vendor Management

- Develop, evaluate and maintain an approved vendor/OEM/distributor database.
- Monitor vendor performance based on:
- Pricing
- Product quality
- Availability
- Delivery timelines
- Warranty/support
- Commercial terms
- Responsiveness
- Conduct regular vendor reviews.
- Negotiate improved commercial and service terms.
- Develop backup vendors for critical products.

## 7. Inventory & Supply Chain Coordination

- Monitor inventory and material requirements.
- Coordinate with warehouse/logistics teams for timely receipt and dispatch.
- Avoid excess inventory, stock-outs and unnecessary working-capital blockage.
- Track pending POs, backorders,



partial deliveries and delayed supplies.
- Maintain visibility of critical and long-lead products.

## 8. Documentation & Procurement Controls

Prepare and maintain

- Purchase Orders
- Vendor Quotations
- Comparative Statements
- Rate Comparisons
- Vendor Evaluation Sheets
- Delivery Trackers
- Procurement MIS
- Payment/Invoice Coordination Documents

Ensure all procurement activities comply with internal approval processes and documentation standards.

## 9. Finance & Commercial Coordination

- Coordinate with Accounts/Finance for invoice verification and vendor payments.
- Monitor vendor outstanding payments and resolve commercial discrepancies.
- Negotiate suitable credit periods and payment milestones.
- Ensure procurement decisions consider **cash flow, project billing cycles and working-capital requirements**.

## 10. Market Intelligence

- Track IT market trends, pricing movements, new product launches and technology changes.
- Monitor **OEM promotions, distributor schemes, price revisions, EOL/EOS products and replacement models**.
- Identify current brands and alternate suppliers that can add commercial value.
- Provide management with regular market pricing and sourcing updates.

# Required Qualifications

- Graduate/Postgraduate in **Commerce, Business Administration, Supply Chain Management, IT, Procurement or related field**.
- **10 years of relevant experience**, with significant experience in IT procurement.
- Strong knowledge of IT hardware, networking, security and technology products.
- Proven OEM/distributor/vendor management experience.
- Strong commercial negotiation and cost-control capabilities.
- Excellent knowledge of **MS Excel, ERP systems and procurement tools**.
- Strong communication, analytical and decision-making skills.
