1. About the Role

We are looking for a highly capable and commercially driven Manager / Senior Executive – Domestic Logistics & Transportation to independently manage our domestic transportation operations across India. The person will be responsible for transporter identification and empanelment, rate negotiation, transportation contracts, vehicle placement, dispatch coordination, freight cost control, transporter performance and logistics MIS.

This is a hands-on role. We are specifically looking for someone who has experience personally negotiating with transporters and logistics companies, finalising commercial terms and managing transportation contracts.

The candidate should be capable of building and managing a strong transporter network and continuously finding ways to reduce freight costs without compromising delivery timelines or service quality.

1. Key Responsibilities

A. Transporter Sourcing & Vendor Management
- Identify and develop reliable transporters and logistics companies across India.
- Build a strong network of transporters for major business regions and routes.
- Obtain and compare quotations from multiple transporters.
- Evaluate transporters based on rates, service quality, fleet availability, transit time, financial stability and market reputation.
- Empanel new transporters and maintain an approved transporter database.
- Develop alternate transporters for important routes to avoid dependency on a single vendor.
- Maintain strong relationships with transporters and fleet owners.

B. Freight Rate Negotiation
- Negotiate transportation rates on a route-wise, vehicle-wise and region-wise basis.
- Negotiate FTL, PTL and LTL rates wherever applicable.
- Benchmark existing freight rates against current market rates.
- Negotiate:
- Freight rates
- Fuel escalation
- Toll charges
- Detention
- Loading/unloading
- Waiting charges
- Multi-drop charges
- Extra kilometre charges
- Return-load arrangements
- Continuously identify opportunities for freight cost reduction.

C. Transportation Contracts & Agreements
- Prepare, negotiate and coordinate execution of transporter agreements / rate contracts / SLAs.
- Ensure commercial and operational terms are clearly documented.
- Contracts should appropriately cover:
- Agreed freight rates
- Rate validity
- Payment terms
- Transit timelines
- Vehicle placement commitment
- Detention terms
- Damage and shortage liability
- Insurance responsibility
- POD requirements
- Claims process
- Penalties for service failures
- Rate revision mechanism
- Termination conditions
- Dispute resolution
- Coordinate with management, accounts and legal teams for final approval and execution.

D. Daily Transportation Operations
- Plan and coordinate dispatches from factories/warehouses to dealers and customers across India.
- Arrange the appropriate vehicle based on shipment size, destination and delivery requirement.
- Ensure timely vehicle placement.
- Monitor shipments from pickup to final delivery.
- Track delayed shipments and take immediate corrective action.




- Coordinate with warehouse, sales, dealers, transporters and customers.
- Handle vehicle breakdowns, route issues, delivery delays and other transportation emergencies.
- Ensure urgent and priority shipments are handled effectively.

E. Freight Cost Control
- Take ownership of domestic transportation costs.
- Analyse freight costs route-wise, transporter-wise, state-wise and shipment-wise.
- Identify freight leakages and unnecessary additional charges.
- Negotiate better rates based on volume commitments.
- Explore:
- Route consolidation
- Full-truck-load optimisation
- Return-load opportunities
- Multi-drop deliveries
- Regional transporter contracts
- Direct fleet-owner arrangements
- Better vehicle utilisation
- Establish benchmarks for major routes and regularly review rates.

F. Transporter Performance Management

Develop and monitor transporter KPIs including:

- On-time pickup %
- On-time delivery %
- Vehicle placement %
- Transit time
- POD submission
- Damage / shortage
- Detention
- Freight variance
- Customer complaints
- Claims

Conduct regular transporter performance reviews and take corrective action against consistently underperforming vendors.

G. Freight Billing & Verification

- Verify transporter invoices against agreed rates and actual transportation movements.
- Ensure no unauthorised freight charges are paid.
- Verify:
- LR/GR
- Agreed freight
- Vehicle type
- Route
- Detention
- Toll
- Loading/unloading
- Additional charges
- POD
- GST
- Identify duplicate, inflated or incorrect freight bills.
- Coordinate with accounts for timely reconciliation and payment.

H. Damage, Shortage & Claims
- Handle transportation-related damage, shortage and loss cases.
- Coordinate with transporters and insurance companies where required.
- Ensure recovery of losses from transporters wherever contractually applicable.
- Maintain a tracker of open and closed claims.
- Analyse recurring damage/shortage issues and recommend corrective action.

Prepare regular logistics reports covering:

- Daily dispatch status
- Pending deliveries
- Vehicle placement status
- Route-wise freight rates
- Transporter-wise freight cost
- Freight cost per unit
- Freight cost per shipment

- Claims
- POD pending
- Transporter performance
- Monthly freight savings

Mandatory Requirements
- 5–10 years of experience in domestic transportation / logistics.
- Hands-on experience dealing with transporters and logistics companies.
- Proven experience in freight rate negotiation.
- Experience in negotiating and managing transportation agreements / rate contracts / SLAs.
- Strong knowledge of Indian road transportation.
- Experience managing multiple transporters.
- Good understanding of FTL / PTL / LTL.
- Experience in freight billing and verification.
- Strong Excel and MIS skills.
- Good knowledge of LR/GR, POD, detention, freight claims and transportation documentation.

This is NOT a vehicle-booking or dispatch-coordination role. The candidate must have actual experience in transportation procurement and transporter management.

The candidate should be able to demonstrate:

- Transporter network developed

Candidates whose experience is primarily limited to calling transporters, arranging vehicles, tracking shipments or preparing dispatch reports, without commercial negotiation experience, should not be considered for the Manager position.

₹40,000 – ₹60,000 per month, depending on experience, negotiation capability and demonstrated track record. Candidates with proven ability to deliver measurable freight savings may be offered compensation at the upper end of the range.
