– GeM / TENDER SPECIALIST

1. Job Purpose

To manage the company's GeM product catalogue and overall tender business, including product listing, catalogue updates, tender identification, tender analysis, bid preparation, technical and commercial coordination, bid submission, reverse auction and order follow-up. The position will have end-to-end responsibility for GeM operations and tender activities.
1. Key Responsibilities

A. GeM Product Catalogue Management
- Add and list new company products on the GeM Seller Portal.
- Create and maintain accurate product catalogues with correct specifications, dimensions, materials, configurations and applicable standards.
- Upload product images, technical datasheets, brochures, certificates and other required documents.
- Ensure product specifications are aligned with the company's approved technical details.
- Regularly review and update existing product listings.
- Add new product variants, sizes, models and configurations as required.
- Coordinate with the Technical, Design, Production and Sales teams to obtain accurate product information.
- Maintain proper product categorisation and ensure products are listed under the appropriate GeM categories.
- Monitor catalogue status, approval/rejection and resolve issues related to product listings.
- Update product pricing in accordance with approved company price lists and management instructions.
- Ensure there are no discrepancies between GeM product information and the company's actual product specifications/pricing.

B. GeM Tender Identification
- Monitor GeM daily for relevant bids and opportunities.
- Identify tenders related to laboratory furniture, laboratory equipment, institutional furniture, turnkey projects and allied products.
- Maintain a GeM Tender Prospect Tracker.
- Evaluate tender value, scope, eligibility, specifications and submission deadlines.

Tender Study & Evaluation
- Review NIT, BOQ, technical specifications, ATC, eligibility criteria and commercial conditions.
- Check experience, turnover, certifications, EMD/PBG, OEM authorization and other requirements.
- Identify technical deviations and commercial risks.
- Prepare tender evaluation summaries for management approval.

D. Technical & Commercial Coordination
- Coordinate with Technical, Design, Production, Purchase, Accounts and Project teams.
- Prepare technical compliance and deviation statements.
- Coordinate drawings, datasheets, catalogues, certificates and other supporting documents.
- Coordinate costing and BOQ pricing.
- Ensure management approval for final pricing before bid submission.

E. Bid Submission & Reverse Auction
- Prepare and submit GeM and other e-tender bids within the prescribed deadlines.
- Verify all technical and commercial documents before submission.
- Monitor technical qualification and financial evaluation.
- Participate in Reverse Auctions as authorised by Management.
- Obtain approved minimum pricing before participating in RA.

F. Post-Bid & Order Follow-up
- Monitor tender evaluation and buyer clarifications.
- Respond to additional document requirements within the stipulated time.
- Follow up for Purchase Order / Work Order after successful bidding.
- Coordinate with Sales and Project teams after order receipt for execution.

G. Tender Documentation & MIS

Maintain updated records of





- GeM product catalogues

- Product specifications and datasheets

- Tender opportunities

- Submitted bids

- Tender results

- Competitor information

- Previous quoted prices
- Work Orders / Purchase Orders

- Experience and completion certificates

- OEM authorizations

- Company statutory documents

Prepare regular MIS covering tender pipeline, bids submitted, technical qualification, RA participation, orders won/lost and business value.

- Number of new products successfully listed on GeM.
- Accuracy and completeness of GeM product catalogues.
- Timely updating of product prices and specifications.
- Number of relevant tenders identified.
- Number of qualified bids submitted.
- 100% timely submission of approved bids.
- Technical qualification rate.
- Tender-to-order conversion.
- GeM/tender order value generated.
- Gross margin achieved.
- Reduction of avoidable bid/catalogue disqualifications.
- Timely response to buyer clarifications.

1. Core Responsibility

GeM Product Management + Tender Management Product Listing → Catalogue Management → Tender Identification → Tender Evaluation → Technical Coordination → Costing & Pricing → Bid Submission → Reverse Auction → Evaluation Follow-up → Order Conversion The objective is to develop a well-maintained GeM product portfolio and a structured, profitable GeM / Government Tender business for the company.

Salary Offered : ₹30,000 – ₹50,000 per month

Experience : 2 years + in respective field
