ASSISTANT MERCHANDISER – GARMENT EXPORT
Department: Merchandising
Reporting To: Senior Merchandiser / Merchandising Manager
Industry: Knitted Garment Manufacturing & Export
Location: Tirupur

1. Job Purpose
The Assistant Merchandiser is responsible for supporting the merchandising team in the complete execution of export orders—from customer enquiry and product development through sampling, approvals, bulk production, inspection, packing, and shipment. The role requires strong follow-up, documentation, coordination, communication, and time-management skills to ensure orders are completed according to the buyer's quality, cost, specification, and delivery requirements.
1. Key ResponsibilitiesA. Customer Enquiry & Order Processing
- Assist the Senior Merchandiser in handling buyer enquiries.
- Study buyer tech packs, specifications, BOM, artwork, colour details, size range, and order requirements.
- Prepare and maintain style-wise order files.
- Prepare internal order sheets and communicate requirements to concerned departments.
- Maintain accurate records of buyer instructions and revisions.
- Follow up for missing information and approvals.
B. Product Development & Sampling Coordinate and follow up on:
- Development samples
- Fit samples
- Size-set samples
- Photo samples
- Salesman samples, if required
- Pre-production (PP) samples
- Shipment samples
Ensure samples are prepared according to buyer specifications and submitted within the agreed timeline. Maintain a Sample Status Tracker with submission and approval dates.
C. Fabric Development & Follow-up
Coordinate with fabric/yarn suppliers and internal teams for:
- Yarn sourcing
- Knitting
- Dyeing
- Fabric processing
- Compacting
- Washing, where applicable
- Fabric testing
- Shade approval
- Lab dip approval
- Fabric quality and GSM approval
Follow up continuously to ensure bulk fabric is available according to the T&A; plan. D. Trims & Accessories
Prepare and maintain the BOM – Bill of Materials.
Follow up for development, approval, ordering, and in-house status of:
- Sewing thread
- Labels
- Hangtags
- Elastic
- Drawcord
- Buttons/snaps/zippers
- Polybags
- Cartons
- Stickers/barcodes
- Packing materials
- Other buyer-specific accessories
Ensure all trims and accessories are approved before bulk usage. E. Printing & Embellishment
Coordinate development and approval of:
- Print artwork
- Print strike-offs
- Embroidery
- Appliqué
- Heat transfer
- Placement
- Colour and quality standards
Maintain buyer-approved references for bulk production. F. Time & Action Plan
Prepare and update the T&A; / Critical Path for every order.
Track important milestones such as:
Order Confirmation → Fabric Approval → Lab Dip → Strike-Off → Fit Sample → PP Sample → Fabric In-house → Accessories In-house → Cutting → Printing/Embroidery → Sewing → Finishing → Final Inspection → Packing → Shipment
Immediately highlight delays or risks to the Senior Merchandiser.
G. Pre-Production Coordination
Ensure all required approvals are available before production starts.
Assist in preparation of the PP Meeting File, including:
- Approved PP sample
- Approved fabric
- Approved trims
- Measurement chart
- Artwork
- Print/embroidery approval
- Packing instructions
- Buyer comments
- Testing requirements
- Quality requirements
Coordinate with Production, Quality, Cutting, Fabric, and Finishing teams. H. Bulk Production Follow-up
Follow up daily on
- Fabric availability
- Cutting status
- Printing/embroidery status
- Sewing input
- Sewing output
- Line production
- Quality issues
- Finishing
- Ironing
- Packing
- Carton completion
Compare actual progress against the T&A; plan and shipment date. I. Quality & Testing
Coordinate with the QA/QC team to ensure buyer quality requirements are followed.
Follow up on
- Fabric inspection
- Measurement requirements
- Inline inspection
- Midline inspection
- Final inspection
- AQL requirements
- Garment testing
- Fabric testing
- Buyer-specific compliance/testing requirements
Escalate quality problems immediately to the Senior Merchandiser. J. Buyer Communication
Support the Senior Merchandiser in preparing professional emails regarding:
- Sample submissions
- Approval requests
- Fabric/trims status
- Production status
- Testing
- Inspection
- Shipment status
Maintain proper records of buyer approvals and comments. No production-critical change should be implemented based only on verbal communication without appropriate written confirmation.
K. Shipment Coordination
Coordinate with production, finishing, packing, commercial, and logistics teams for:
- Final inspection
- Packing list
- Carton details
- Shipping marks
- Buyer documentation
- Shipment samples
- Ex-factory date
- Forwarder coordination
- Shipment handover
Ensure the order is ready according to the committed shipment date.
1. Daily Responsibilities
The Assistant Merchandiser should review every active style each day and update:
- Sample status
- Approval pending status
- Fabric status
- Accessories status
- Printing/embroidery status
- Cutting status
- Production status
- Finishing and packing status
- Inspection status
- Shipment status
Priority principle:
Any issue that can affect quality or shipment date must be escalated immediately.

The Assistant Merchandiser should maintain:

1. Educational Qualification
Preferred: Diploma / Degree in Textile Technology, Fashion Technology, Apparel Manufacturing, Garment Technology, B.Com, BBA, or other relevant qualification.
1. Experience
Preferred: 1–3 years of experience in garment manufacturing/export merchandising. Fresh candidates with good garment knowledge, communication ability, and strong willingness to learn may also be considered.
