Associate HR Compliance & Payroll

Role Overview
MATI Carbon is looking for an Associate – HR Compliance & Payroll to manage and support Pan-India HR statutory compliance and payroll operations.
The ideal candidate should have strong practical knowledge of Indian labour laws and statutory compliances, along with hands-on experience in payroll processing. Since MATI operates across multiple states, the candidate should be comfortable managing state-wise compliance requirements with a high level of accuracy and attention to detail.
Key Responsibilities
HR Statutory Compliance
- Manage and track HR statutory compliances across multiple states in India.
- Maintain a state-wise compliance calendar and ensure timely completion of statutory requirements.
- Handle compliances related to PF, ESI, Professional Tax, Labour Welfare Fund, Gratuity, Bonus, Shops & Establishments, Minimum Wages, and other applicable labour laws.
- Monitor changes in state-wise labour laws, wage rates, thresholds, and statutory requirements.
- Maintain statutory records, registers, challans, returns, and other compliance documentation.
- Coordinate with external consultants and relevant authorities for statutory compliance matters.
- Identify and follow up on compliance gaps and pending actions.
Payroll Management
- Support/manage the end-to-end monthly payroll process for employees across different states.
- Verify attendance, leave, new joiners, exits, salary revisions, deductions, reimbursements, and other payroll inputs.
- Ensure accurate calculation of PF, ESI, Professional Tax, TDS, LWF, and other applicable deductions.
- Conduct payroll checks and reconciliations before salary processing.
- Coordinate with the Finance team for timely salary processing and statutory payments.
- Maintain accurate payroll records and reports.
State-wise Compliance
- Maintain accurate employee and compliance records for different states.
- Understand and track state-specific requirements applicable to MATI employees and locations.
- Ensure timely renewals, registrations, filings, and other applicable requirements.
- Support compliance requirements when MATI expands operations to new states.
Employee Support & HR Operations
- Address employee queries related to payroll, PF, ESI, payslips, tax deductions, and statutory advantages.
- Support onboarding and exit activities from a payroll and compliance perspective.
- Maintain accurate employee master data and payroll information.
- Coordinate with HR and Finance teams to resolve payroll discrepancies.
Audit & Documentation
- Maintain proper documentation for payroll and statutory compliance.
- Support internal and external audits.
- Prepare payroll, compliance, and reconciliation reports as required.
- Ensure records are accurate,
complete, and readily available for audit/reference.
Required Skills & Experience
- 2–3 years of relevant experience in HR Payroll and Statutory Compliance.
- Hands-on experience in Pan-India or multi-state HR compliance.
- Strong knowledge of Indian labour laws and statutory requirements.
- Practical knowledge of PF, ESI, PT, LWF, TDS, Gratuity, Bonus, Shops & Establishments, and Minimum Wages.
- Experience in monthly payroll processing and payroll reconciliation.
- Strong understanding of state-wise variations in compliance requirements.
- Good working knowledge of MS Excel/Google Sheets and HR/payroll systems.
- Strong attention to detail and numerical accuracy.
- Good communication and coordination skills.
- Ability to independently track deadlines and maintain compliance records.
Preferred Qualifications
- Bachelor's degree in HR, Commerce, Business Administration, or a related field.
- Certification/coursework in Payroll, Labour Laws, or HR Compliance will be an advantage.
- Experience working with HR/payroll consultants or statutory compliance agencies will be an advantage.
Ideal Candidate The ideal candidate should be someone who has hands-on experience rather than only theoretical knowledge of HR compliance and payroll. They should be comfortable handling multiple states, tracking state-specific requirements, maintaining accurate records, and ensuring that payroll and statutory compliances are completed within timelines.
