Job Summary

We are looking for an experienced Assistant Manager – Purchase to manage and streamline the procurement of medical and hospital consumables. The role will be responsible for vendor management, purchase planning, negotiation, cost optimization, timely availability of materials, and ensuring adherence to hospital procurement policies and quality standards.

Key Responsibilities

- Manage end-to-end procurement of medical, surgical, OT, ICU, laboratory and other hospital consumables.
- Handle purchase requirements raised by various hospital departments and ensure timely availability of materials.
- Identify, evaluate, negotiate, and develop reliable vendors and suppliers.
- Obtain and compare quotations, negotiate pricing, payment terms, delivery schedules, and other commercial terms.
- Prepare and process Purchase Orders (POs) in accordance with approved requirements and procurement policies.
- Coordinate with vendors for order confirmation, dispatch, delivery, shortages, replacements, and quality-related issues.
- Monitor stock levels and coordinate with stores/inventory teams to prevent stock-outs and overstocking.
- Develop effective procurement strategies for frequently used and critical consumables.
- Ensure procurement is done at optimum cost while maintaining required quality and specifications.
- Maintain and update vendor databases, price lists, rate contracts, and product master data.
- Support negotiation and implementation of rate contracts / annual contracts with key suppliers.
- Coordinate with Finance, Stores, Clinical Departments, Biomedical, Pharmacy and other stakeholders for smooth procurement operations.
- Verify product specifications, regulatory requirements, expiry dates, batch details, and other relevant documentation wherever applicable.




- Track pending purchase orders and ensure adherence to agreed delivery timelines.
- Analyze purchase data, consumption patterns, price variations, and vendor performance.
- Identify opportunities for cost savings, standardization, and process improvement.
- Ensure proper documentation and audit compliance for all procurement activities.
- Resolve vendor-related discrepancies, billing issues, supply shortages, and quality concerns.
- Participate in periodic vendor evaluation and performance reviews.
- Ensure compliance with hospital procurement policies, approval matrix, and internal controls.
- Prepare MIS and periodic reports related to procurement, savings, pending orders, vendor performance, and consumption.

Required Skills & Competencies
- Strong knowledge of hospital consumables procurement and healthcare supply chain processes.
- Good understanding of medical and surgical consumables, OT/ICU supplies, laboratory consumables and other hospital materials.
- Strong vendor management and negotiation skills.
- Valuable understanding of purchase processes, PO management and inventory coordination.
- Strong analytical and problem-solving abilities.
- Excellent communication and stakeholder management skills.
- Ability to manage multiple purchase requirements and work within tight timelines.
- Proficiency in MS Excel, ERP/HIS/Purchase Management Systems.
- Strong follow-up and coordination skills.
- Cost-conscious approach with focus on quality and timely availability.

Educational Qualification

- Graduate in any discipline; MBA/PGDM in Supply Chain Management, Operations or Procurement will be preferred.
- Candidates with relevant certification in procurement/supply chain management will be an added advantage.

Preferred Experience

- 7–9 years of relevant experience in Purchase/Procurement within hospitals or healthcare organizations.
- Experience handling medical and hospital consumables is essential.
- Candidates with experience in multi-specialty hospitals or large healthcare setups will be preferred.
