- Daily Fleet Operations
- Monitor daily vehicle deployment and availability.
- Ensure vehicles are available for all planned routes and shifts.
- Coordinate with Zone Managers, Supervisors, and Drivers.
- Track vehicle breakdowns and arrange immediate replacements.
- Vehicle Maintenance
- Monitor preventive and periodic vehicle maintenance.
- Coordinate servicing, repairs, tyre replacement, battery issues, and breakdowns.
- Maintain vehicle-wise maintenance records.
- Follow up with workshops and ensure vehicles return to operation on time.
- Driver Management
- Monitor driver attendance, duty allocation, and performance.
- Ensure drivers follow route charts, safety procedures, and company instructions.
- Address driver discipline and operational issues.
- Coordinate replacement drivers during leave or absence.
- Fuel Management
- Monitor daily fuel consumption for each vehicle.
- Verify fuel usage against vehicle kilometres and assigned routes.
- Identify abnormal or excessive fuel consumption.
- Maintain proper fuel records and prepare monthly reports.
- Vehicle Documentation
- Ensure all vehicle documents are valid and updated, including:
- RC
- Insurance
- FC
- Permit
- Pollution Certificate
- Fitness and other applicable documents
- Track expiry dates and ensure timely renewal.
- GPS & Vehicle Tracking
- Monitor GPS/vehicle tracking systems.
- Check vehicle movement, route adherence, and stoppage time.
- Prepare reports for unauthorized route deviations or vehicle misuse.
- Breakdown & Emergency Management
- Respond quickly to vehicle breakdowns and emergencies.
- Arrange alternate vehicles whenever required.
- Maintain breakdown records and analyze repeated vehicle issues.
- Cost Control
- Control unnecessary vehicle repair, fuel, tyre, and maintenance expenses.
- Compare maintenance costs vehicle-wise.
- Identify opportunities for fleet cost savings.
- Reporting
- Prepare daily fleet status reports.
- Submit weekly and monthly reports covering:
- Vehicle availability
- Breakdown
- Fuel consumption
- Maintenance
- Driver attendance
- Vehicle utilization
- Repair expenses
- Documentation status
- Safety & Compliance
- Ensure vehicles are operated safely and properly.
- Conduct regular checks on vehicle condition and safety equipment.
- Ensure drivers follow traffic rules and company safety procedures.
