Job Description - HR Operations Partner- Vendor Operations

Role Purpose

We are seeking an experienced and dynamic qualified to be part of the Vendor Operations Team. The role will be responsible for managing the end-to-end vendor lifecycle, contract governance, invoice management, compliance monitoring, and stakeholder engagement. The incumbent will work closely with internal business teams, vendors, Legal, Finance, Procurement, and HR stakeholders to ensure seamless service delivery, governance adherence, and operational excellence.

Roles & Responsibilities

Vendor Lifecycle Management

- Manage end-to-end vendor onboarding, modifications, renewals, and offboarding processes.
- Ensure all vendor records are maintained accurately across systems and repositories.
- Drive adherence to governance standards and vendor management policies.

Contract Management & Compliance

- Coordinate contract creation, review, approvals, renewals, and amendments.
- Track contract milestones, expiries, and renewal timelines to ensure business continuity.
- Ensure compliance with organizational policies, audit requirements, and applicable regulations.
- Support internal and external audits by maintaining accurate documentation and evidence.

Invoice Processing & Governance

- Manage invoice validation, reconciliation, and submission workflows.




- Coordinate with vendors, business stakeholders, Finance, and Procurement teams for timely invoice processing and payment closure.
- Resolve invoice discrepancies and payment-related queries within agreed timelines.
- Monitor aged invoices and drive timely closure to meet SLA commitments.

Vendor Performance Management

- Track vendor performance against defined SLAs and KPIs.
- Prepare vendor governance reports and dashboards highlighting compliance, service delivery, and operational metrics.
- Identify improvement opportunities and work with stakeholders to drive corrective actions.

Stakeholder Management & Reporting

- Partner with business teams, vendors, Legal, Finance, Procurement, and HR stakeholders to ensure smooth operational delivery.
- Prepare management reports, dashboards, and presentations for leadership reviews.
- Provide insights and recommendations through data analysis to support decision-making.

Process Excellence & Continuous Improvement

- Identify process improvement and automation opportunities to enhance efficiency and controls.
- Drive standardization of vendor management processes across functions and geographies.
- Support transformation initiatives and governance programs within Vendor Operations.
