Process Improvement Department Builder Contract (4-6 months) • Build it, staff it, hand it off
Location: India, remote (occasional travel) • Overlap: partial overlap with US Eastern business hours • Engagement: contract / consulting, 4 to 6 months, with a defined exit The situation
We are a ~200-person US medical-services company with operations in the USA, South America and India. For 30 years, one person has been the only source of process design and improvement.
Our process-improvement team today is two Senior Business Analysts. That's it. No structure, no process, no method of work, no tools, no management layer. We want someone who has built a process-improvement department from scratch before to build ours and then leave it running without them.
The engagement
- Weeks 12: Deliver a phased plan from where we are to where we need to be — OKRs, milestones, realistic timelines.
- Months 1–2: Build the department: method of work, standards, best practices, tools. Take our first process (FES) through discovery and standardization.
- Months 2–4: Recruit and install the department's permanent manager. Put the management structure in place. Bring the first process under control.
- Months 4–6: The manager runs the department. You hand off and exit.
Your exit is planned from Day 1. Success is a department that runs without you.
What you'll do
1. Build the department's execution processes — how work is identified, prioritized, designed, approved and controlled.
2. Instill proven best practices and choose the department's own tools (process mapping, tracking, measurement).
3.
Take processes up the maturity ladder: discover standardize control optimize automate. (Our Fractional CTO owns automation technology; you lead the process to that point.)
4. Build the measurement system — baselines, KPIs, dashboards — where little data exists today.
5. Gather requirements and author Business Cases (problem root cause options ROI recommendation).
6. Mentor the two Senior BAs, hire the team, and recruit the permanent manager who takes over from you.
7. Work at the strategic "what and why" level — and roll up your sleeves to do analyst work yourself when needed.
You must have
- Built a process-improvement / process-excellence department or function from scratch, and handed it to a manager who kept it running.
- Personally hired a team you owned (5+ hires).
- Authored Business Cases that were approved.
- A solid data perspective on process work — you've built measurement systems, not just used them.
- Comfort starting with almost nothing: two BAs, no structure, no playbook.
A plus (not required)
- Healthcare, revenue-cycle or insurance-claims experience.
- Lean / Six Sigma / BPM methodology.
- Experience working across countries.
This is not for you if
- You advise and hand the building to someone else.
- Your team experience is training or certifying people rather than hiring and running a team.
- You need clean data, a team or a playbook before you can start.
- You're looking for a permanent role or a technology-strategy role.
How to apply — answer every question
1. Type BUILDER as the first word of your reply.
2. Have you personally built a process-improvement / process-excellence department from scratch (not joined an existing one)? Yes / No. Name the company and the team size when you started and when you left.
3. After you left, did a manager you put in place keep running it? Yes / No. May we speak with that person? Yes / No.
4. How many people have you personally hired into a team you owned? (number)
5. How many Business Cases (problem root cause options ROI recommendation) have you personally authored that were approved, in the last 3 years? (number)
6. Have you built a process measurement system (baselines, KPIs, dashboards)? Yes / No. Which tools?
7. Are you open to a 4–6 month contract with a defined exit — build the department, hire its manager, hand it off? Yes / No.
8. We have two Senior BAs and no structure. Will you personally do analyst-level work from Day 1? Yes / No.
9. Your expected monthly fee, your earliest start date, and how many hours of US Eastern overlap you can offer.
Finalists complete a short paid planning assignment before any contract. We speak with the manager who took over your last department.
