Role & responsibilities
1. PAYROLL MANAGEMENT
End-to-end processing of monthly payroll for staff and workmen, including attendance, overtime, leave and incentive inputs.
Coordinate with Time Office / Production to validate attendance, shift and overtime data before payroll processing.
Ensure accurate computation of salary, deductions, arrears, full and final settlements.
Coordinate with Accounts/Finance for salary disbursement, reimbursements and payroll-related reconciliations.
Maintain payroll records, salary registers and MIS in line with statutory and audit requirements.
Handle employee queries related to salary, deductions, Form 16 and tax declarations.
2. STATUTORY COMPLIANCE & FILINGS
Ensure timely statutory compliance under PF, ESIC, Professional Tax, Labour Welfare Fund, Bonus Act, Gratuity Act and other applicable labour laws.
Prepare and file monthly, quarterly and annual statutory returns within due dates.
Maintain statutory registers and records required under the Factories Act, Shops & Establishment Act and other applicable state/central labour laws.
Liaise with government departments, labour inspectors, PF/ESIC authorities and consultants for inspections, audits and compliance matters.
Track changes in labour law / statutory requirements and ensure timely implementation.
Maintain a statutory compliance tracker and ensure zero non-compliance.
3. RECRUITMENT, ONBOARDING & OFFBOARDING
Manage recruitment of blue as well white collar employees.
Manage end-to-end onboarding for new joiners documentation, induction, ID cards, system access and joining formalities.
Coordinate with department heads for smooth integration of new employees into their roles.
Manage the complete offboarding / separation process resignation acceptance, exit interviews, clearance, full and final settlement and relieving documentation.
Maintain accurate and updated employee master data and personnel files at all times.
Ensure timely issuance of appointment letters, confirmation letters,
increment letters and experience/relieving letters.
4. EMPLOYEE ENGAGEMENT & EVENTS
Plan and organize employee engagement activities, festivals, annual day, sports events and other on-site programs.
Coordinate logistics, budgets and vendor arrangements for employee events and celebrations.
Drive initiatives that improve employee morale, motivation and a positive shop-floor culture.
Handle employee grievances and welfare matters, ensuring timely resolution.
Support communication of company announcements, policies and initiatives to the workforce.
5. HR TEAM MANAGEMENT
Lead, guide and manage the HR team, allocating responsibilities across payroll, compliance, recruitment and admin support.
Set clear goals for team members and monitor performance, quality and turnaround time of HR activities.
Build capability within the HR team through training, guidance and process standardization.
Ensure adequate backup and coverage for all critical HR functions.
6. RECRUITMENT & MANPOWER PLANNING
Coordinate recruitment for staff and workmen positions in line with manpower budgets and production requirements.
Liaise with placement agencies/contractors for workmen and contract labour requirements.
Track manpower headcount, attrition and hiring status, and report to Management.
7. POLICY IMPLEMENTATION & DISCIPLINE
Implement and ensure adherence to HR policies including attendance, leave, code of conduct and disciplinary procedures.
Support Management in handling disciplinary matters, show-cause notices and domestic enquiries as required.
Ensure policies remain aligned with applicable labour laws and are consistently applied across the workforce.
8. COORDINATION WITH INTERNAL DEPARTMENTS
Work closely with
Production / Shop Floor – attendance, manpower deployment and shift planning
Admin – facilities, transport, canteen and employee welfare
Accounts / Finance – payroll disbursement and statutory payments
Safety / EHS – statutory posters, safety committees and compliance records
Management – manpower planning, policy decisions and compliance reporting
9. MIS & REPORTING
Prepare and submit regular HR reports covering:
Headcount, attendance and overtime summary
Payroll and statutory payment status
Attrition, recruitment and onboarding status
Statutory compliance and filing status
Employee engagement activity calendar and grievance status
Maintain accurate HR data in the HRMS / internal HR system.
10. KEY RESULT AREAS (KRA)
100% on-time and accurate payroll processing
Zero statutory non-compliance / timely filing of all statutory returns
Timely and smooth onboarding and offboarding of employees
Employee engagement calendar execution and improved participation
HR team productivity and turnaround time on HR requests
Reduction in attrition and grievance resolution TAT
Audit and inspection readiness at all times
11. DESIRED SKILLS & COMPETENCIES
Robust working knowledge of PF, ESIC, Bonus, Gratuity, Factories Act and other labour law compliances
Hands-on experience with payroll processing and HRMS/payroll software
Proven experience managing a factory / blue-collar workforce
Strong leadership skills with prior experience managing an HR team
Excellent interpersonal, communication and employee-relations skills
Proficiency in MS Excel / MS Office for HR MIS and reporting
High integrity, confidentiality and ability to handle sensitive employee matters
