We are hiring an experienced HR Executive who can independently handle end-to-end HR functions. The ideal candidate must have strong knowledge of ESIC, PF, salary structures, payroll processing, labour law compliance, and general HR operations.
KEY RESPONSIBILITIES
Recruitment & Onboarding
- Manage end-to-end recruitment — job posting, screening, interviews, and offer rollout
- Understand manpower requirements from department heads
- Conduct background verification and reference checks
- Handle complete onboarding, induction, and documentation for new joiners
- Prepare offer letters, appointment letters, and joining kits
Payroll & Salary Management
- Process monthly payroll accurately and on time
- Design and manage CTC structures — Basic, HRA, DA, TA, Special Allowance, Medical Allowance
- Prepare salary slips, full & final settlements, and increment letters
- Handle TDS deductions and coordinate Form 16 with the finance team
- Manage attendance, leave, overtime, and LOP deductions in payroll
- Work on payroll software
ESIC Compliance
- Register new employees on the ESIC portal and generate ESIC cards
- Calculate and file monthly ESIC challans via the ESIC portal
- Process ESIC claims, accident reports, and medical reimbursements
- Maintain ESIC contribution records and handle return filing
- Good knowledge of ESIC wage applicability (below ₹21,000) and exemptions
PF / EPF Compliance
- Generate UAN, complete KYC linking and activation for new employees
- File monthly ECR (Electronic Challan cum Return) on the EPFO portal
- Handle PF withdrawal, transfer, and advance requests (Form 19, 10C, 31, 13)
- Manage PF nomination updates and resolve passbook-related queries
- Thorough knowledge of employer and employee contribution rates and VPF
- Coordinate with PF inspector during audits or inspections
Statutory & Legal Compliance
- Ensure compliance with Shops & Establishment Act, Minimum Wages Act, Payment of Wages Act, Gratuity Act, Bonus Act, and Maternity Benefit Act
- Maintain statutory registers — Muster Roll, Wage Register, Leave Register, Fine Register
- Handle labour law notices, inspections, and audits
- Manage Qualified Tax (PT) deductions and filing as per state rules
- Ensure timely filing of all statutory returns and licence renewals
- Knowledge of Contract Labour (Regulation & Abolition) Act if applicable
Employee Relations & Engagement
- Serve as the first point of contact for employee queries and grievances
- Handle disciplinary actions, show-cause notices, and warning letters
- Conduct exit interviews and manage full & final settlement process
- Plan and execute employee engagement activities, R&R; programs, and team events
- Foster a positive and open workplace culture
Performance Management
- Coordinate annual and mid-year performance appraisal cycles
- Maintain KRA/KPI frameworks in coordination with department managers
- Track probation confirmation reviews and process increments
- Support managers in goal setting and employee feedback sessions
HR Operations & MIS
- Maintain accurate employee master data and HR records
- Track and report HR metrics — attrition, headcount, absenteeism, time-to-hire
- Prepare weekly/monthly HR MIS reports for management review
- Manage HRIS/HR software and ensure data accuracy
- Draft and update HR policies, SOPs, and the employee handbook
Training & Development
- Identify training needs through appraisal data and manager inputs (TNI/TNA)
- Coordinate internal and external training programs
- Maintain training calendar, attendance records, and post-training effectiveness reports
REQUIRED SKILLS & QUALIFICATIONS
- Minimum 2 years of core HR experience (generalist role preferred)
- Hands-on experience with ESIC and PF/EPF portals
- Strong understanding of Indian salary/CTC structure and payroll processing
- Knowledge of Indian labour laws and statutory compliance
- Proficiency in MS Excel / Google Sheets (VLOOKUP, pivot tables)
- Experience with HRIS or payroll software
- Strong written and verbal communication skills
- High level of confidentiality, integrity, and attention to detail
- Ability to work independently and manage multiple priorities
- Graduate / MBA / PGDM in HR or a related field
