Role & responsibilities
Responsible for all operational activities at unit level.
The Operations Manager for the hospital branch ensures smooth running of the unit. Responsibility included overseeing daily tasks, managing budgets and ensuring that protocols are met. Unit operations manager is expected to work with department heads and colloborate to improvise the process with an end goal of patient satisfaction while ensuring the branch's success within the broader hospital framework.
Financial/ Business
Will be responsible for Turnover and adhering to operative margins as per the business plan To plan and develop, self-supportive revenue generating programs from autonomous departments as appropriate
Forecasting and Preparing annual operating plan along with Medical Director and addressing priorities of business as per annual operating plan
Identifying and concentrating on profitable service lines
Taking care of VIP patients/VIP visitors as per OP and IP protocol To Collect and take corrective measures on Patient feedback in consultation with Medical Director
Responsible for liaison and statutory requirements in the unit
Responsible for F&B; stores, General stores, Maintenance, Biomedical
One point of contact for authorisations and management of all local purchases post Medical Director approval
Monitoring costs at all levels of BU operations to keep them at optimum level, Identifying and exploring ways and initiatives to control cost and generate revenue
Planning and reviewing the execution of operational tasks like infrastructure growth, recruiting, performance reviews and compensation, as per SOP and business plan and ensuring all departments within BUs stay within budgets To collaborate with central procurement and pharmacy functions to optimize costs
Developing consensus among the department heads on matters related to operations, prior to the development of the budget. Presents budgets to corporate along with Medical Director To manage Consultant Pay-outs as per TAT through accounts department in consultation with Medical Director
Operations
Develops and implements policies,
procedures and best practices in the administration of hospital with reference to corporate services, medical insurance, material management, pharmacy management and facility management To work in close collaboration with clinical and non-clinical functions to ensure required delivery of healthcare
Ensure implementing process compliance across all functional departments as per schedule
People
Identifying non clinical and behavioural training needs across departments and ensures those needs are shared with the corporate L&D; Team To work in close collaboration with clinical and non clinical support functions to ensure best services are rendered to the patients across units and highlights issues to incharges in group corporate when they are not To finalize KRAs presented by Group HR for all staff working in the Unit along with KPI’s and modifies them as appropriate. Ensures that the Goal setting has been completed by Unit HR to all employees in their unit.
Ensures that Hi-Pots are identified in each BU in the operaions and clinical functions based on the performance and delivery and such people are fast tracked in the organization through corporate support
Ensures that the Group corporate is laying down career progression plans for all employees in the hierarchy
Monitors optimal utilization of resources at Business Units and highlights issues to group corporate HR for remedial actions
Process
Ensure PWC’s set process standared are compiled to a 100% in all units. Reports non compliances to relevant heads and group corporate
Oversees the unit inventory (Stock & Equipment), monitoring wastage. Escalates to concerned head and maintains a record of actions taken and TAT for resolution of issues. Highlights them to Medical Director of the unit and reports progress to corporate weekly
Ensures best clinical and non clinical practices and compliances are followed as per Ankura’s and NABH standards and service TAT via monitoring and auditing the teams necessary daily and records non compliances
Monitors quality assurance programs and mock drills concerned with safety and quality control initiatives based on a structured calendar through Quality department.
Ensure effective implementation of policies and processes as per laid down by the group corporate ensures 100% compliance with statutory, statistical and annual financial and quality reports. Coordinates with relevant departments to obtain quality certifications.
Customer
Takes initiatives to reduce average waiting time of patients in the OPD
Reduces patient waiting time through intitiaves with OPD Incharge To track call center for gaps in conversation. Tracks missed/cancelled appointmenrs weekly and updates director marketing
Increases bed occupancy rates of the BU month on month through cutting-edge initiaves and support from marketing and operations through regular structured feedback
Ensures TAT on ALOS is followed for all regular patients without complications
Ensures Staff-to-patient ratio is maintained to improve the quality of patient care, as well as employee sustainability
Monitors patient drug / disposables cost per stay for all standard procedures and highlights the non compliances to Medical Director
Ensures reduction on the total time and total money spent by a hospital on insurance claims and reduces claim delinal rates by effectively coordinating with the incharge in the group corporate for claims
Monitors Patient Feedback process and conducts regular patient feedback analysis and provides relevant feedback and corrective actions to relevant departments. Ensures committed KPI’s on Patient satisfaction and experience are maintained
Improves ER waiting time for patients
Ensures improvement in patient room the turnover rate through discussion with housekeeping and operations
Preferred candidate profile
Candidate should be from hospital experience with P&L; exposure.
