Job Summary The Stores Supervisor will be responsible for the day-to-day functioning of the stores, including inventory control, material receipt and dispatch, storage, stock records, logistics coordination, and supervision of store staff. The position requires maintaining accurate inventory records and ensuring timely movement of materials while following company procedures.
Key Roles & Responsibilities
1. Store Operations
- Handle day-to-day activities of the stores and ensure smooth functioning.
- Ensure proper receipt, checking, identification, storage, and issue of materials.
- Maintain proper arrangement and systematic storage of products, consumables, instruments, and other materials.
- Ensure cleanliness, safety, and proper utilization of store space.
- Follow company SOPs and procedures for all store-related activities.
2. Inventory Control
- Maintain accurate physical and system-based stock records.
- Monitor stock levels and identify shortages, excess stock, slow-moving, and non-moving items.
- Conduct regular physical stock verification and reconcile discrepancies.
- Ensure proper batch-wise, quantity-wise, and expiry-wise stock management wherever applicable.
- Monitor expiry dates and ensure timely reporting of near-expiry materials.
- Maintain records of damaged, expired, returned, or rejected materials.
3. Supervision of Store Staff
- Supervise and allocate daily work to store assistants and other store staff.
- Ensure staff follow proper procedures for material handling, storage, picking, packing, and dispatch.
- Monitor attendance, discipline, work quality, and daily productivity of store staff.
- Provide basic guidance and training to junior store personnel.
4. Inward & Outward Material
- Verify incoming materials against purchase orders, delivery challans, invoices, or other relevant documents.
- Ensure proper documentation of material receipts and issues.
- Prepare/coordinate material dispatches as per approved requirements.
- Ensure correct quantity, product, batch, and packaging before dispatch.
- Maintain records of inward and outward movement of materials.
5. Logistics Coordination
- Coordinate with Sales, Service, Billing, Accounts, and other departments for material requirements and dispatches.
- Coordinate with transporters, courier agencies, and logistics partners for timely delivery and collection of materials.
- Track dispatched materials and maintain delivery-related records.
- Coordinate for returns, replacement materials, and inward movement of returned goods.
- Ensure proper packing and labeling of materials before dispatch.
6. Documentation & Records
- Maintain stock registers, inward/outward records, dispatch records, and other store documents.
- Ensure timely updating of inventory transactions in the designated software/system.
- Maintain proper filing of delivery challans, invoices, GRNs, stock transfer documents, and other relevant records.
- Prepare routine stock and logistics reports as required by the Reporting Manager.
7. Coordination & Compliance
- Coordinate with the concerned departments regarding stock availability and material requirements.
- Immediately report stock discrepancies, damages, shortages, expiry concerns, or other irregularities to the Reporting Manager.
- Ensure materials are handled and stored according to their specific storage requirements.
- Follow company policies related to inventory, logistics, safety, and documentation.
Key Performance Areas (KPIs)
- Accuracy of inventory records.
- Timely inward and outward processing of materials.
- Proper stock arrangement and availability.
- Reduction of stock discrepancies and losses.
- Timely identification of near-expiry and non-moving stock.
- Accuracy of dispatches and documentation.
- Timely coordination with logistics partners.
- Effective supervision and utilization of store staff.
- Compliance with company SOPs and store procedures.
Required Skills & Qualifications
- Graduate / Diploma / equivalent qualification preferred.
- 2–5 years of experience in stores, inventory, warehouse, logistics, or a related role.
- Basic knowledge of inventory management and stock handling.
- Basic computer knowledge and familiarity with MS Excel.
- Experience with ERP/Tally or inventory software will be an advantage.
- Valuable coordination and communication skills.
- Ability to maintain records accurately.
- Ability to supervise junior store staff and manage day-to-day work.
Pay: ₹18,000.00 - ₹25,000.00 per month
