About the Role

We are looking for a highly organized, proactive, and hands-on Operations Manager / Senior Operations Manager to lead the planning, coordination, and execution of BIEDX’s international medical conferences, academic programs, workshops, fellowships, and onsite educational initiatives.

This role is ideal for someone who has experience managing medical conferences, healthcare events, academic programs, professional congresses, or international educational events and understands what it takes to coordinate multiple stakeholders across countries, time zones, and organizations.

The person will work closely with doctors, international faculty, speakers, academic institutions, delegates, sponsors, vendors, hospitals, hotels, event partners, and internal teams to ensure that every program is planned and delivered smoothly from concept to completion.

This is a high-ownership execution role. The ideal candidate should be comfortable taking responsibility for timelines, people, logistics, communication, vendors, documentation, and onsite problem-solving.

Key Responsibilities

International Conference & Event Operations

- *Plan and execute international medical conferences, congresses, workshops, seminars, fellowships, masterclasses, and hands-on training programs.
- *Manage events end-to-end, from initial planning and timelines through onsite execution and post-event closure.
- Develop detailed event plans, operational checklists, timelines, run sheets, task trackers, responsibility matrices, and execution schedules.
- Coordinate venues, accommodation, transportation, catering, audiovisual requirements, branding, event production, registration, delegate management, and onsite logistics.
- Coordinate domestic and international travel arrangements for faculty, speakers, delegates, and other stakeholders.
- Be responsible for smooth onsite execution and act quickly on operational issues, last-minute changes, and unforeseen requirements.

International Faculty & Stakeholder Management

- Coordinate directly with international doctors, faculty members, speakers, academic leaders, medical societies, hospitals, universities, and institutional partners.
- Manage faculty communication before, during, and after conferences and academic programs.
- Coordinate speaker invitations, confirmations, travel requirements, accommodation, session schedules, presentation materials, biographies, photographs, disclosures, and other academic requirements.
- Maintain professional communication with stakeholders across different countries and time zones.
- Build and maintain strong working relationships with international faculty, academic partners, vendors, and professional organizations.
- Coordinate with international associates and partners to ensure requirements, timelines, and deliverables are clearly understood and completed.

Program & Academic Operations

- Coordinate the operational delivery of BIEDX’s CME/CPD programs, fellowships, online learning programs,



and other educational initiatives.
- Work closely with the academic team to ensure faculty requirements, session schedules, educational materials, accreditation documentation, and program deliverables are completed on time.
- Support CME/CPD and other academic documentation and compliance requirements where applicable.
- Coordinate between academic, technology, marketing, finance, administration, and external partners to ensure seamless program delivery.
- Support LMS-related operations and other digital education initiatives when required.

Vendor, Logistics & Budget Management

- Identify, coordinate, and manage event vendors, production agencies, hotels, travel partners, printing companies, AV providers, caterers, and other service providers.
- Obtain and compare quotations, coordinate negotiations, and ensure timely delivery of services.
- Track event budgets, purchase requirements, expenses, invoices, and vendor payments in coordination with the finance team.
- Monitor vendor performance, quality, timelines, and contractual deliverables.
- Ensure event requirements are delivered within approved budgets and timelines.

Delegate & Participant Management

- Coordinate participant and delegate communication before, during, and after programs.
- Manage registrations, confirmations, travel information, accommodation requirements, certificates, event materials, and other participant requirements.
- Ensure a professional and seamless experience for delegates, faculty, speakers, and partners.
- Handle queries and resolve operational issues promptly.

Internal Operations & Process Management

- Maintain accurate trackers and databases for faculty, speakers, delegates, vendors, partners, venues, travel, budgets, and program deliverables.
- Establish structured operational processes and documentation for recurring BIEDX programs.
- Identify operational gaps and implement improvements to increase efficiency and consistency.
- Coordinate multiple projects simultaneously while maintaining close attention to timelines and details.
- Provide regular operational updates, status reports, and escalation points to management.

Requirements

- Bachelor’s degree or equivalent qualification in Business Administration, Management, Healthcare, Life Sciences, Event Management, Hospitality, Technology, or a related field.
- 4 years of relevant experience in conference management, medical events, healthcare operations, academic program management, professional events, MICE, or a similar environment.
- Demonstrated experience managing events or programs from planning through onsite execution.
- Experience working with international conferences, international delegates, overseas faculty, global institutions, or international partners is highly preferred.
- Strong experience coordinating with senior professionals, doctors, faculty members, institutional representatives, vendors, and external stakeholders.
- Excellent written and verbal English communication skills.
- Strong project-management and coordination abilities.
- Excellent organizational skills and attention to detail.




- Ability to manage multiple projects, stakeholders, deadlines, and priorities simultaneously.
- Strong problem-solving skills and the ability to make practical decisions under time pressure.
- Proficiency in Microsoft Office / Google Workspace, particularly Excel/Google Sheets and PowerPoint.
- Comfortable working across different time zones and with international stakeholders.
- Willingness to travel domestically and internationally for conferences and educational programs.

Compensation & Benefits

Salary: ₹50,000 – ₹90,000 per month, depending on experience and suitability
