Job Title:‬‭ Facilities Manager

‭Location:‬‭ Mumbai/London (Hybrid / Multi-site across London portfolio)‬

‭Position Type:‬‭ Full-time, Permanent‬

‭Reporting To:‬‭ Head of Facilities / Operations Director‬

Job Purpose‬

We are seeking an experienced and proactive‬‭ Facilities Manager‬‭ to oversee the day-to-day operations,‬maintenance, and statutory compliance of our real estate portfolio across London. Acting as a critical link‬‭ between strategic leadership and ground-level execution, you will ensure our environments are safe, sustainable, highly functional, and welcoming for all occupants.

The ideal candidate will strike a balance between hard FM technical oversight (building systems,‬

‭mechanical & electrical) and soft FM delivery (cleaning, security, front-of-house), while maintaining tight‬ control over vendor budgets and strict UK statutory compliance.‬

‭Key Responsibilities‬

‭ 1. Operations & Contract Management‬

‬‭ Hard & Soft FM Oversight:‬‭ Manage the delivery of all hard services (M&E;, HVAC, plumbing)‬

‭ and soft services (cleaning, waste management, security, reception) across the London sites.‬

‬‭ Vendor Management:‬‭ Source, onboard, and audit third-party contractors. Manage Service Level‬

‭ Agreements (SLAs) and Key Performance Indicators (KPIs) to ensure value for money and‬

‭ premium service.‬

‬‭ Planned Preventive Maintenance (PPM):‬‭ Implement, track, and optimize the PPM schedule‬

‭ using our CAFM (Computer-Aided Facility Management) software to minimize business‬

‭ downtime.‬

‭ 2. Health, Safety & Statutory Compliance‬

‬‭ Compliance & Legislation:‬‭ Ensure all properties strictly adhere to UK building regulations, the‬

‭ Health and Safety at Work Act (HSWA), Regulatory Reform (Fire Safety)



Order, and‬

‭ environmental standards.‬

‬‭ Risk Assessments:‬‭ Regularly conduct, document, and update risk assessments, COSHH‬

‭ evaluations, and fire risk assessments across all portfolio locations.‬

‬‭ Emergency Readiness:‬‭ Maintain up-to-date business continuity and disaster recovery plans,‬

‭ coordinating routine fire drills and evacuation training.‬

‭ 3. Financial & Sustainability Management‬

‬‭ Budget Accountability:‬‭ Manage the operational expenditure (OpEx) budget for the London‬

‭ portfolio, identifying cost-saving opportunities without compromising safety or quality.‬

‬‭ Sustainability Initiatives:‬‭ Monitor energy consumption and waste management, driving green‬

‭ initiatives (e.g., carbon footprint reduction, recycling targets) aligned with corporate ESG goals.‬

‭ 4. Team Leadership & Stakeholder Experience‬

‬‭ Workplace Experience:‬‭ Act as the primary point of contact for internal tenants and corporate‬

‭ stakeholders, resolving facilities-related issues swiftly and empathetically.‬

‬‭ Team Support:‬‭ Supervise, mentor, and organize internal facilities coordinators or assistants‬

‭ assigned to the portfolio.‬

‭ Skills and Qualifications‬

‭ Required:‬

‬‭ Experience:‬‭ 3 to 5+ years of progressive experience in Facilities Management, specifically‬

‭ managing multi-site commercial, retail, or corporate office portfolios in London.‬

‬‭ Certifications:‬‭ NEBOSH‬‭ General Certificate or‬‭ IOSH‬‭ Managing Safely qualification.‬

‬‭ Skilled Membership:‬‭ Associate or Professional Member of the‬‭ IWFM‬‭ (Institute of‬

‭ Workplace and Facilities Management) or equivalent.‬
