About EMS

Electronica Mechatronic Systems (I) Pvt. Ltd., known in India's machine tool market as EMS, has designed and manufactured precision engineering products in Pune since 1986. The company began by making optical encoders in India, using technology transferred from Europe. That gave Indian machine tool makers world-class encoders at affordable prices for the first time.
Nearly four decades later, EMS is a Pune-based MSME of about 200 people. It has a broad portfolio across three areas:
- Measure: height gauges, coordinate measuring machines (CMMs), vision measuring machines, 3D scanners and portable CMMs, and railway wheel and track gauges
- Control: optical and magnetic linear and rotary encoders, and digital readouts (DROs) for machine tools and metrology
- Automate: special-purpose machines for high-speed inspection, sorting and custom measurement
EMS does its own R&D;, has in-house SMT-based electronics manufacturing, and assembles products in an anti-static, dust-free environment. Its customers include Indian Defense, the Department of Atomic Energy, Indian Railways, and the aerospace, automotive, steel, heavy engineering, and medical equipment industries.
More than 10,000 EMS encoders are in use worldwide, and the company has over 5,000 customers. A pan-India team of 30 sales engineers and area managers serves them, and a global dealer network handles exports, which make up a major share of turnover.

About the Role
This is an all-rounder role at the center of the company's day-to-day operations. You will manage administration and facilities, handle team travel, support the Directors,
and own statutory labor-law compliance under the new labor codes. You'll report directly to [Director / Head of HR].
Key Responsibilities
Travel Management
- Plan and book domestic and international travel for Directors, the sales and service teams, and export-related visits: flights, trains, hotels, cabs, visas, and forex
- Get the best fares and options, keep travel records, and reconcile travel bills
Administration & Facility Management
- Manage day-to-day facility upkeep: cleanliness, housekeeping, security, utilities, pantry and office supplies
- Supervise housekeeping staff and company drivers, including duty rosters, attendance, and work quality
- Handle repairs and maintenance of company property and premises, coordinating with vendors and contractors
- Manage the company vehicle fleet: servicing, repairs, insurance, PUC, renewals and fuel records
- Source vendors, collect quotations, and keep AMCs and service contracts up to date
- Provide personal assistant support to the Directors as needed: scheduling, errands, personal and property matters
- Ensure housekeeping practices meet the needs of controlled areas, such as the ESD-safe, dust-free assembly and electronics manufacturing zones, working with the production and quality teams
Statutory Compliance (Labor Laws)
- Ensure compliance with the Code on Wages, the Code on Social Security, the Industrial Relations Code and the OSH Code, plus Maharashtra state rules
- Calculate, deposit and file returns on time for PF, ESIC, MLWF, Skilled Tax and other applicable statutory dues
- Maintain statutory registers, records and displays as required under the new labor codes
- Handle registrations, license renewals and inspections, and liaise with labor, PF, ESIC and other government offices
- Track changes in labor laws and rules, and flag the impact on company policies and payroll
- Coordinate with external consultants and auditors on compliance matters
