Job Summary

We are looking for an experienced Vendor Relationship & Purchase Operations Manager to manage end-to-end vendor operations, purchase tracking, quality coordination, invoice verification, payment reconciliation, costing, and MIS reporting.

Key Responsibilities

- Manage vendor relationships, onboarding, purchase orders, delivery timelines, negotiations, and dispute resolution.
- Verify vendor invoices against purchase orders, goods receipts, and QC approvals.
- Coordinate with Purchase, QC, Warehouse, Finance & Accounts, and Design/Production teams to ensure smooth operations.
- Maintain accurate vendor ledgers, accounts payable, payment records, debit/credit notes, and monthly reconciliations in Tally/ERP.
- Prepare purchase-wise costing sheets covering landed cost, making charges, wastage, GST, and vendor margins.
- Maintain item-wise purchase records and product/SKU-wise rate history for cost tracking, audits, and negotiations.
- Track price variances, pending invoices, quality issues, returns, rework,



and vendor performance.
- Prepare weekly/monthly MIS reports, vendor scorecards, inventory aging analysis, and customized management reports.
- Identify process gaps, streamline the PO-to-payment cycle, and recommend cost optimization and vendor rationalization.

Required Qualifications & Skills

- Bachelor's degree in Commerce, Finance, or an equivalent field.
- 3–4 years of relevant experience in vendor management, purchase operations, or accounts payable.
- Jewellery industry experience with working knowledge of Polki, diamonds, gemstones, jewellery manufacturing, and semi-finished goods is essential.
- Hands-on knowledge of Tally/ERP, Advanced Excel (VLOOKUP, Pivot Tables), Google Sheets, and MS Office.
- Strong negotiation, communication, coordination, analytical, and problem-solving skills.
- High attention to detail, accuracy in reconciliation, and the ability to manage multiple deadlines independently.
- Experience in B2B/B2C retail or e-commerce will be an added advantage.
