Experience Required: 2–3 Years in Order Processing / IT Hardware Industry Location: Bangalore Job Type: Full-time

Key Roles and Responsibilities:

1) Order Management a) Receive and Verify the customer orders. b) Validate the orders c) Enter Orders Accurately into ERP/Softwire’s d) Confirm the Orders before proceeding e) Track pending Orders and back ordered items.

2) Customer Communication a) Send Skilled order acknowledgement emails. b) Communicate order status, dispatch status with details & expected delivery times. c) Respond to customer queries through emails/whatsup / phone. d) Escalate delays shortages or discrepancies promptly.

3) Coordination’s a) Coordinate with sales, store, accounts & logistics teams for a smooth operations. b) Check product availability before confirming delivery commitments c) Coordinate with store and logistics for picking, packing & dispatch.

4) Documentation:

a) Prepare/coordinate- sales orders, delivery challans, invoice, e-way bills (where applicable), transport/LR details, warranty/serial number documentation.

Maintain proper digital & physical records 5) IT hardware specific responsibilities: a) Verify model, configuration, serial number & asset details. b) Ensure the exact tested/approved unit is allocated

c) coordinate with the testing team/store team before dispatch.

d) ensure OS/software requirements are completed. e) Verify accessories such as chargers, bags, cables etc..

, f) Maintain serial number wise dispatch records

6) Order Follow-up:

a) Monitor every order until successful delivery

b) Track Courier/Transport shipments.

c) Follow-up on delayed deliveries

d) Obtain delivery confirmations

e) Coordinate with accounts/finance for payment related holds or clarifications.

7) After Sales Coordination: a) record customer complaints related to wrong/damaged/missing products. b) Coordinate with support/service team/store team for replacements or warranty cases c) Ensure pending complaints or closed within the committed time line.
