Role & responsibilities
Project Planning & Lifecycle Execution
- End-to-End Coordination: Plan, schedule, and monitor the entire project lifecycle. Direct and coordinate with all functional departments (Engineering, Procurement, Quality, and Site) to ensure unified progress.
- Kick-Off Management (KOM): Lead the internal and external Project Kick-Off Meetings. Ensure the teams align with the clients expectations from Day 1.
- Site Mobilization: Conduct the Site Kick-Off Meeting in coordination with the Construction team to ensure a seamless transition from the Head Office to the field.
- Issue Resolution: Act as the primary "troubleshooter" for inter-departmental bottlenecks. Use Cross-Functional Team (CFT) meetings to resolve engineering or material conflicts before they impact the schedule.
- Reporting: "Drive the end-to-end preparation and timely submission of comprehensive Project Progress Reports (Daily/Weekly/Monthly), ensuring 100% data integrity and alignment with actual site/HO progress."
- Reviews: "Facilitate rigorous internal and external review meetings at defined frequencies to synchronize stakeholders, track milestones, and proactively resolve bottlenecks."
- Meticulously track project progress against the Approved Baseline Schedule; identify potential slippages early and proactively expedite internal functions and external vendors to safeguard the Critical Path
Technical & Document Governance
- Approval Cycle Management: Coordinate the submission of all drawings and technical documents. Proactively follow up with the customer to secure timely approvals and prevent "engineering hold" periods.
- Material Sync: Conduct rigorous, regular reviews with Engineering and Materials (Procurement) departments to ensure the Supply Chain matches the construction sequence.
Financial & Commercial Performance
- ABP Achievement: Strategically plan and achieve monthly , quarterly and annual Revenue Recognition, invoicing & Cash flow targets .
- Budgetary Control: Monitor all project expenses and commitments.
Ensure the project remains within the sanctioned budget while simultaneously hitting delivery milestones.
- Ensure Contractual Compliance:
Claim & Risk Management
- Claim Strategy: Identify opportunities for Additional Claims. Prepare data-backed cases for scope changes and negotiate amicably with the customer to secure amendments.
- LD & Extension Management: Proactively apply for Delivery Extensions and Liquidated Damages (LD) waivers. Ensure all delays caused by external factors are documented and officially communicated to the client.
Logistics & Material Flow
- Logistics Interface: Coordinate with respective teams to manage the dispatch, transportation, and receipt of equipment, ensuring "Last Mile" delivery success.
Construction Coordination & Site Interface
- Site Readiness & Front Availability: Coordinate with the construction team to identify "Work Fronts." Ensure that Engineering and Procurement deliverables are prioritized to match the sites sequential mobilization plan.
- SAR/CAR Resolution: Act as the HO "Rapid-Track" coordinator for all site-raised Technical Queries. Ensure that site bottlenecks caused by drawing discrepancies or "field fits" are resolved by the Engineering team within 48 hours.
Safety (HSE) & Quality (QA/QC) Stewardship
- COPQ Data Analysis: Systematically capture and report the Cost of Poor Quality (COPQ). Analyze rework data from the site to identify systemic HO engineering or vendor errors and implement corrective actions.
- Quality Documentation (QAP): Coordinate the submission and approval of the Quality Assurance Plan (QAP) and Manufacturing Quality Plans (MQP).
Ensure all "Released for Dispatch" notes are digitally archived and shared with the site.
- Audit Support: Assist in internal and external Quality/Safety audits by maintaining impeccable project documentation and compliance records at the Head Office.
Project Close-out & Final Handover
- Punch List Liquidation: Maintain a "Live" digital tracker for all Punch List items (Category A, B, and C). Coordinate between Site and Engineering to ensure 100% technical closure for the Final Acceptance Certificate (FAC).
- As-Built Management: Lead the progressive collection of marked drawings from the site. Manage the conversion of these marks into formal As-Built Drawings through the HO Engineering department.
- Dossier Compilation: Handover a complete "Project Data Book" to the client, including all O&M; Manuals, Test Certificates, Warranty documents, and Statutory Approvals as per the project requirements and contract.
- Lessons Learned & Archiving: Conduct "Post-Project Debriefs" with cross functional teams Prepare the Project Close-out Report, highlighting budget vs. actual performance and technical "Lessons Learned" for future projects.
Preferred candidate profile
- Strong background in project management, Proficiency in project planning tools like MS Project (Project scheduling software)
- Technical experience in e.g., Power Plants , Chemical Pants , refineries, boilers, Air pollution control equipments, Bag filters , water treatment plant etc.
- Should have background of Techno commercial. Understanding and knowledge of Letter of credit, Bank guarantee, Payment terms, contract terms and commercial obligations etc.
- Knowledge of PSUs and Exports, knowledge of cost control and budgeting practices, hands-on experience with ERP systems such as Oracle, familiarity with invoicing and milestone-based billing processes, coordination of logistics and material dispatch, understanding of engineering documentation workflows and approval cycles, experience in preparing claims and handling LD waivers.
