Job Description Manager, Facility & Admin

Reporting To: HR Manager – Operations & Compliances

Job Purpose

To manage factory facilities, administration, maintenance, security, and HSE compliance while ensuring uninterrupted operations, cost efficiency, workplace hygiene, and a safe working workplace.

Key Responsibilities
Facility & Maintenance: Manage preventive maintenance of DG sets, ACs, compressors, electrical systems, and other facility equipment.
HSE & Fire Safety: Ensure fire safety equipment readiness, emergency preparedness, safety inspections, fire drills, and hazard prevention.
Security Management: Supervise security personnel, access control, visitor management, surveillance, and site security.
Housekeeping & Administration: Maintain workplace cleanliness, implement 5S practices, manage canteen, pantry, pest control, and sanitation.
Vendor & Procurement Management: Manage security, housekeeping, catering, and maintenance vendors; monitor SLAs, procurement, inventory, and operating costs.
Compliance & Documentation: Monitor applicable factory licenses, Fire NOC, pollution control consents, safety requirements, and compliance records.
Asset & Space Management: Maintain facility assets,



optimize workspace utilization, and coordinate repairs and replacements.
MIS & Coordination: Prepare maintenance schedules, inventory reports, compliance trackers, and administrative MIS. Coordinate transport and travel arrangements as required.

Required Qualifications & Skills
Graduate in any discipline; certification in Industrial Safety or Fire Safety is preferred.
3–5 years of experience in factory administration or facility management.
Knowledge of facility maintenance, HSE, statutory compliance, and industrial utilities.
Proficiency in vendor management, transport & travel coordination, MIS & reporting, documentation, inventory control, and team management.
Working knowledge of MS Excel and ERP/CAFM tools.
Solid leadership, communication, problem-solving, and crisis-management skills.

Zero preventable fire and electrical safety incidents.
Target of 99%+ uptime for DG sets and industrial compressors.
Target of 95%+ facility and safety audit scores.
Timely renewal of applicable statutory licenses and approvals.
Effective vendor performance, maintenance, housekeeping, and cost control.
