- Understand client requirements and translate them into actionable plans
- Assist in budgeting, scheduling, and venue selection
- Coordinate with vendors for decor, audio-visuals, catering, logistics, etc.
- Prepare and update event checklists and timelines
Client & Vendor Coordination
- Act as the point of contact for clients before and during events
- Liaise with all stakeholders to ensure smooth planning and execution
- Ensure vendors meet deadlines and quality standards
Logistics & Setup
- Oversee setup and breakdown at event venues
- Manage transport, technical requirements, and inventory movement
- Ensure all materials and teams are in place and ready ahead of schedule
On-Ground Execution
- Supervise event day activities (crew, timing, sequences, performances, etc.)
- Troubleshoot in real-time and ensure quick resolution of any issues
- Maintain communication with all teams (production, hospitality, tech)
Post-Event Duties
- Conduct post-event evaluations and feedback collection
- Assist in reconciliation of expenses and reporting
- Document event highlights for future reference or promotions
Pre-Sales Duties
- Hotel Barter Collaborations: Reach out to hotels and accommodation partners to negotiate and secure barter collaborations for complimentary stays for artists travelling to the city for scheduled shows.
Sales Duties
- Food & Dining Partnerships: Coordinate with restaurants and food partners to secure complimentary meals and food deals for artists travelling to the city for scheduled shows
