About the Role:

We are looking for an experienced manager to work directly with the CEO across two businesses and improve how departments operate. You will go into departments, understand how work is currently being done, identify gaps, research better methods, design improved processes/SOPs/tasks/controls/audits/automations, and bring recommendations back to the CEO for sign-off. Once approved, you will work with the relevant managers to implement

the improvement.

This is not an Executive Assistant role. You will often be given the business problem or required outcome rather than step-by-step instructions. We need someone who can investigate, structure the problem, design the solution and drive it through to implementation.

What you will do

- Go into departments, speak with managers/staff and understand how work is currently performed.
- Review SOPs, tasks, forms, schedules, trackers, KPIs, controls and audits; identify gaps and weak processes.
- Research better ways of working and present a clear recommendation to the CEO for approval.
- Design or improve SOPs, workflows, checklists, recurring tasks and management controls.
- Define for each process: owner, steps, frequency, deadline, evidence, approval, escalation, audit method and KPI.
- Work with managers to implement approved changes and follow them through to completion.
- Use Asana, Airtable, Excel/Google Sheets and forms to create practical operating systems and evidence trails.
- Use Claude,



ChatGPT and other AI tools for research, analysis, drafting and problem-solving.
- Identify repetitive work suitable for n8n, Zapier or other automation tools; build simple automations or specify what

should be built.

- Carry out process audits, investigate recurring failures and design permanent corrective actions.

Who we are looking for

- Excellent written and spoken English - non-negotiable.
- Previous Manager / Assistant Manager / Team Lead / strong Supervisor experience in a well-run organisation.
- Understands how departments scale through processes, SOPs, tasks, KPIs, audits and accountability.
- Robust business judgment, research ability, critical thinking and follow-through.
- Good Excel/Google Sheets skills and comfortable learning new software independently.
- Active interest in AI and technology, with evidence of using ChatGPT, Claude, Gemini or Copilot for real work.
- Experience with Asana, Airtable, n8n, Zapier, Zoho or workflow tools is useful but not mandatory.
