Position Summary The Revenue Cycle Implementation Specialist is responsible for project managing and coordinating client implementations from initial discovery through go-live, stabilization, and transition to ongoing operations. Serving as the central project coordinator for assigned implementations, the Specialist ensures that required resources, tasks, dependencies, milestones, and deliverables are identified, assigned, tracked, and completed according to the implementation plan.

This position requires a highly organized, action-oriented project manager who is comfortable driving accountability across multiple departments, identifying risks before they affect the project timeline, escalating barriers, and pushing stakeholders to meet assigned commitments. The successful candidate brings a strong combination of project management discipline, revenue cycle operational knowledge, and technical aptitude and works effectively across Revenue Cycle Operations, Client Success, Technology, EDI and Enrollment, Training, Analytics, and client teams.

Key Responsibilities

Project Management & Implementation Coordination

· Serve as the primary project manager for assigned client implementations from kickoff through operational handoff.

· Develop, maintain, and actively manage detailed implementation plans, milestones, deliverables, dependencies, owners, and due dates.

· Coordinate all internal and external resources required to complete implementation activities.

· Ensure deliverables have clear ownership, measurable completion criteria, and defined deadlines.

· Facilitate implementation kickoff meetings, recurring project meetings, readiness reviews, and status meetings.

· Manage multiple concurrent implementations while maintaining visibility into priorities, dependencies, and critical-path activities.

· Provide concise, accurate project status reporting to the Director of Revenue Cycle Implementations and other stakeholders.

Accountability, Risk Management & Escalation

· Drive implementation activities to completion rather than simply tracking project status.

· Hold internal and external stakeholders accountable for agreed-upon deliverables and deadlines, including persistent follow-up on outstanding commitments.

· Continuously evaluate timeline, scope, quality, resource, technical, and operational risks.

· Maintain current risk, issue, decision, and dependency logs and develop practical mitigation or contingency plans.

· Challenge unrealistic timelines, incomplete deliverables, unclear ownership, and barriers that may jeopardize implementation success.

· Escalate material risks promptly with a explicit description of the issue, impact, owner, required decision, and recommended action.

Client Discovery & Requirements Assessment

· Lead structured discovery sessions to understand the client’s current revenue cycle environment, objectives, workflows, systems, reporting, payer, staffing, and technical requirements.

· Document current-state workflows and translate discovery findings into actionable implementation requirements, tasks, and deliverables.

· Identify information gaps and dependencies early and ensure outstanding requirements are resolved before they become timeline risks.

· Maintain complete, accurate, and accessible implementation documentation.

Cross-Functional Resource Coordination

· Coordinate implementation activities across Revenue Cycle Operations, Client Success, Technology, EDI, EFT/ERA and payer enrollment, Credentialing, Training, Analytics and Reporting, and client operational and technical stakeholders.

· Ensure each stakeholder understands project objectives, responsibilities, deliverables, due dates, and dependencies.

· Remove coordination barriers, facilitate decisions, and maintain momentum across workstreams without relying on direct reporting authority.

Technical & Operational Readiness

· Coordinate practice-management and EHR/EMR setup, system access, interfaces, data exchange, EDI configuration, payer enrollment, EFT/ERA setup, reporting, workflow configuration, testing, and data validation activities.

· Understand and communicate dependencies between technology configuration and revenue cycle operational workflows.

· Monitor readiness across operational, technical, staffing, training, payer, workflow, and reporting workstreams.

· Identify technical or operational issues that could affect readiness or go-live timing and drive them toward resolution.

Go-Live, Stabilization & Transition to Operations

· Maintain comprehensive go-live readiness plans and checklists and coordinate final readiness reviews.

· Validate completion of critical requirements and clearly communicate the impact of any outstanding items before launch.

· Serve as the central coordination point during go-live and facilitate timely issue resolution and escalation.

· Monitor stabilization activities, open issues, and post-go-live commitments through closure or formal handoff.

· Coordinate the transition to Revenue Cycle Operations and Client Success, including complete documentation, ownership of remaining actions, and handoff meetings.

· Participate in post-implementation reviews and lessons-learned sessions.

Process Improvement

· Identify opportunities to improve SMB’s implementation methodology, tools, templates, workflows, controls, and reporting.

· Maintain standardized implementation documentation and project-management tools.

· Apply lessons learned to improve implementation quality, consistency, efficiency, scalability, and client experience.

Knowledge, Skills, and Abilities

· Strong knowledge of healthcare revenue cycle operations, including patient registration, charge capture, claim submission, payer enrollment, EDI, EFT/ERA, denials, accounts receivable, and reporting.

· Exceptional project management, organization, prioritization, documentation, and follow-through skills.

· Ability to understand and connect operational workflows with technical requirements and dependencies.

· Ability to identify project risks early, develop mitigation strategies, and escalate appropriately.

· Strong critical-thinking, decision-support, root-cause analysis, and problem-solving abilities.

· Excellent written, verbal, presentation, and meeting-facilitation skills.

· Ability to influence and drive accountability without direct authority.

· Comfort addressing missed commitments, project delays, competing priorities, and difficult issues in a constructive, solution-focused manner.

· Advanced proficiency with Microsoft Office and project-management tools; experience with healthcare practice-management and EHR systems preferred.

Qualifications

· Bachelor’s degree in Healthcare Administration, Business Administration, Project Management, Information Systems, or a related field preferred; an equivalent combination of education and relevant experience may be considered.

· 3–5+ years of healthcare revenue cycle experience preferred.

· 3+ years of project management, implementation, client onboarding, or operational-transition experience.

· Demonstrated experience managing complex projects with multiple stakeholders, workstreams, dependencies, and competing priorities.

· Healthcare technology, EHR/EMR, practice-management system, or revenue cycle implementation experience strongly preferred.
