Key responsibilities:
MD's office and calendar
- Manage the MD's calendar, meetings, store visits and travel; prioritise time around festive, wedding, Gudi Padwa & Akshaya Tritiya-type peaks.
- Screen calls, emails and visitors; handle routine queries independently and escalate what needs the MD.
- Prepare the MD for each meeting with a short brief, relevant figures and background.
Business reporting and follow-up
- Compile daily and weekly snapshots from branches – sales, gold/silver purchases, scheme collections and key exceptions.
- Track progress on sales targets, campaigns and store projects (renovations, shifts, new formats) and flag delays early.
- Take minutes in internal, management, review and vendor meetings; circulate action points and follow up until closed.
Coordination across the business
- Act as the link between the MD and store managers, the purchase office, production/karigars, accounts and the marketing agency.
- Coordinate inputs for sub-brand, franchise and brand-activation work, including timelines and document collection.
- Support the planning of exhibitions, launches, customer events and VIP client visits.
Documents, correspondence and confidentiality
- Draft letters, emails, proposals and presentations in English and Marathi (Hindi a plus).
- Maintain organised records of agreements, licences, compliance renewals and important correspondence.
- Handle confidential matters – partnerships, financial information and family-business discussions – with complete discretion.
Stakeholder relations
- Liaise with banks, CA/legal advisors, industry bodies, suppliers, government programme partners and key customers.
- Maintain the MD's network of contacts and ensure timely follow-ups, greetings and invitations.
Special projects
- Own small projects assigned by the MD end to end – research, vendor comparisons, process notes or current initiatives.
Qualifications and skills
- Graduate in any discipline; BBA, BCom or MBA preferred.
- 3–6 years as an Executive Assistant, PA or coordinator to a senior leader, ideally in a family business, retail or manufacturing.
- Excellent written and spoken English and Marathi; Hindi preferred.
- Strong with MS Excel (sorting, pivots, basic formulas), Word, PowerPoint, Google Workspace and email/calendar tools.
- Highly organised, with the habit of tracking open items and following up without being reminded.
- Comfortable with numbers – able to read sales reports and summarise them clearly.
- Proven discretion with confidential financial and personal information.
Good to have
- Exposure to the jewellery, gold or luxury retail industry, or familiarity with terms like purity, making charges and gold schemes.
- Experience with ERP/billing software or CRM tools.
- Experience coordinating events, exhibitions or franchise/partner onboarding.
- Own two-wheeler or four-wheeler for travel between branches.
Personal attributes
- Mature, composed and well-presented; represents the MD's office professionally with customers and partners.
- Proactive problem-solver who anticipates needs rather than waiting for instructions.
- Respectful of the culture and values of a traditional family business, while open to new ways of working.
- Flexible during peak seasons and willing to work on festival days when required.
What we offer
- Direct exposure to how a growing, multi-brand jewellery business is run and scaled.
- A high-trust role at the centre of decision-making.
- Competitive salary based on experience, plus festive incentives.
