The ideal candidate will bring deep hands-on experience with Shareworks, equity plan administration, reconciliations, and reporting, plus the ability to help stand up SOX controls from scratch. This individual will partner with Finance, Accounting, Legal, Payroll, HR, and external vendors, manage equity system access, support secondary transactions, and serve as the point of contact for equity-related questions.
We're looking for someone who can operate independently, manage high transaction volumes with accuracy, and bring structure to a program that is still being built.
Key Responsibilities:
1.
Equity Administration:
- Administer employee stock options, RSUs, and other equity awards
- Maintain accurate equity records, participant data, vesting schedules, and transaction history
- Process grants, exercises, releases, cancellations, terminations, and equity transactions
- Support ongoing equity-related reconciliations and reporting requirements
- Support secondary transactions
- Manage equity system access — determine who can use the system and oversee user permissions
- Monitor and manage transaction volumes while maintaining data integrity
2. Program Build & SOX Controls:
- Support the build-out of the equity program from scratch
- Help build SOX controls from the ground up
- Maintain audit-ready documentation and support internal/external audit requests
- Partner with stakeholders to identify and resolve control and data discrepancies
3. Reporting & Data Analysis:
- Develop and maintain recurring equity reports and analytics
- Perform complex data validation and reconciliations using advanced Excel functionality
- Utilize Excel Pivot Tables, VLOOKUP/XLOOKUP, Data Validation, and Data Reconciliation to analyze large datasets
- Support audit requests and equity-related reporting requirements
4. Equity Questions & Stakeholder Management:
- Serve as the point of contact for equity-related questions from employees and stakeholders
- Collaborate with Finance, Accounting, Payroll, Legal, HR, and external vendors (VMS)
- Provide status updates on reconciliations, controls, and operational deliverables
- Support process improvements and documentation efforts
Required Qualifications:
- CEP certified (Level 1, 2, or 3) — mandatory
- 3–7 years of experience in Equity Administration, Stock Plan Administration, or related functions
- Deep hands-on experience with Shareworks
- Strong understanding of stock options, RSUs, vesting schedules, equity transactions, and cap tables
- Experience with secondary transactions
- Advanced Excel skills, including Pivot Tables, VLOOKUP/XLOOKUP, Data Validation, Data Reconciliation, and large dataset analysis
- Experience working with vendors/VMS
- Strong communication skills — comfortable fielding equity questions and educating participants
- Self-starter — comfortable building processes from scratch
- Solid attention to detail and ability to manage high transaction volumes
- Ability to work independently in a fast-paced environment
Preferred Qualifications:
- Experience building SOX controls
- Experience with pre-IPO or publicly traded companies
- Experience supporting equity platform implementations
- Knowledge of stock-based compensation accounting and audit support processes
