Operations & Client Experience Coordinator – Wellness by Alkesh

Location: Remote, India

Type: Full-time

Salary: ₹30,000 per month

Working hours: Flexible, and split shifts are welcome. Your day needs to overlap with our Toronto team during the Indian evening. Monday to Friday, plus a half day on Saturday.

About Wellness by Alkesh

Wellness by Alkesh is an online wellness practice helping clients in India and North America improve their health through personalised diet, supplement, lifestyle and workout programs, delivered remotely over 16 weeks.

About the role

You will run the day-to-day operations of the practice so our founder can focus on clinical work. You will own client communication, our CRM, scheduling, and the founder's inbox and task list, and bring decisions to him already prepared.

What you will do

- Reply to client WhatsApp and Instagram messages promptly and professionally, and escalate clinical questions to the right person

- Contact every new lead within 24 hours and guide them through intake, consultation booking and payment

- Keep our CRM (Bigin) accurate: move deals through stages, log interactions, and keep client details complete

- Onboard new clients: consent and intake forms, document folders, check-in schedules and welcome messages

- Send and track payment links,



and follow up on pending or failed payments

- Manage the founder's email, calendar and task list, and prepare a short daily summary for a daily meeting

- Draft LinkedIn posts and coordinate with our social media agency

What we are looking for

- Excellent written English, warm and professional in tone

- Highly organised and reliable; you track many open items without reminders

- Comfortable with CRM and cloud tools (Google Workspace, Zoho or similar) and quick to learn new software

- Good judgement about what you can handle and what needs escalating

- Discretion with personal and health information

- Experience in an administrative, client service or coordination role is a plus. Freshers with a strong technical background are welcome to apply.

- Experience in health, wellness or a clinic is a bonus
