ABOUT THE ROLE

Vidya Setu Institute is seeking a Senior Academic Counsellor to guide prospective PhD scholars through programme selection, admissions, documentation, and enrolment, while also mentoring the counselling team and helping maintain high standards of quality and ethics.

In addition to handling a counselling portfolio, this role supports team targets, handles complex and escalated cases, and works closely with the academic and admissions teams to improve the candidate journey.

KEY RESPONSIBILITIES

Candidate Counselling

- Counsel prospective candidates by phone, email, and online meeting, with a focus on high intent and complex cases.
- Assess each candidate's academic background and research goals, and advise on suitable programmes and research pathways.
- Explain PhD coursework, eligibility criteria, fees, timelines, and admission requirements clearly and accurately.

Team Leadership and Mentoring

- Guide, mentor, and support Academic Counsellors through coaching, call and email reviews,

and regular feedback.
- Onboard and train new counsellors on programme details, admission processes, counselling approach, and CRM usage.
- Assist the manager in allocating leads and monitoring team performance against targets.

Escalations and Quality

- Handle escalated queries and difficult candidate situations, and resolve them in coordination with the academic and admissions teams.
- Ensure that all counselling is accurate, ethical, and transparent, and that programme information is consistent across the team.
- Review applications and documentation for completeness and flag issues early.

Pipeline, Records and Reporting
- Follow up with prospective candidates and track application progress across the pipeline.
- Ensure accurate and timely records of enquiries, follow ups, and admissions in the CRM, for self and the team.
- Prepare and share weekly and monthly reports on enquiries, conversions, and pipeline status,

with observations and suggestions.





Enrolment Targets and Process Improvement

- Own individual enrolment targets and contribute to team targets through ethical, transparent,

and informative counselling.
- Share candidate feedback and market insights with management, and suggest improvements to counselling scripts, processes, and follow-up practices.

REQUIREMENTS

Essential

- Minimum 3 years of experience in academic counselling, admissions, education sales, or a related field, including at least 1 year of experience leading, mentoring, or training others.
- Robust written and verbal communication, presentation, and persuasion skills.
- Sound knowledge of higher education or research programmes, with an understanding of PhD admissions.
- Excellent follow-up, organisational, and time management skills.
- Proficiency in MS Office, CRM systems, email, and online communication tools, and comfort with reports and data.
- Graduate qualification.

Preferred

- Postgraduate qualification.
- Experience handling escalations and managing a pipeline against targets.
- Familiarity with university regulations and research processes.
