Role Overview -

We are seeking a highly organized and detail-oriented Clinical Payments Specialist with a minimum of 4+ years of experience in international accounting and clinical trial financial systems. The successful candidate will be responsible for the end-to-end financial processing of clinical trial transactions, vendor communication, invoice reconciliation, and financial verification for operational teams.

A critical component of this role is hands-on proficiency in CTMS (Clinical Trial Management Systems) to support site payment structures, invoice verification, and the alignment of trial payment workflows with operational needs.

Key Responsibilities -

1. Trial Payment & CTMS Management

- System Management: Support and maintain CTMS payment modules to ensure system setups accurately reflect contract terms and payment schedules.
- Payment Processing: Oversee the execution and processing of site and trial payments, ensuring accurate reconciliation of transactions, milestone tracking, and prompt resolution of returned or rejected payments.
- Internal Tracker Updates: Maintain and update internal trackers to ensure real-time visibility into payment processing and financial oversight across global teams.

2. Accounts Payable Support

- PO & Account Creation: Partner with the Accounts Payable team to create accounts and Purchase Orders (POs) for trial vendors and clinical sites, ensuring all financial transactions are processed efficiently.

3. Audit & Compliance

- Audit & Regulatory Support:



Collaborate with Clinical Operations and Accounts Payable during internal and external annual audits by providing necessary documentation, payment logs, and ensuring strict adherence to SOC 1 compliance and standard accounting policies.

4. Stakeholder Relations

- Vendor & Site Communication: Deliver exceptional service to clinical research sites, CROs, vendors, and internal colleagues, resolving payment inquiry tickets promptly.

Qualifications & Requirements

Educational Background

- MBA, or a relevant Master's/Bachelor's degree in Finance or Accounting or Lifesciences.An equivalent combination of specialized education and clinical financial experience will be considered.

Technical & Domain Expertise

- CTMS Expertise (Required): Direct, hands-on experience using CTMS platforms for clinical trial payment processing, milestone tracking, and financial reconciliation.
- International Accounting: Minimum of 4 years of experience managing payment processing and financial reconciliation within an international accounting context.

Software Skills:

Strong proficiency in Microsoft Excel (advanced formulas, pivot tables, and complex financial analysis).

Familiarity with financial software such as MineralTree, Coupa, SAP, or NetSuite is highly preferred.

Proficiency in Microsoft Office Suite (Word, PowerPoint).
