Job Title: Fuel Loading Supervisor

Location: Mumbai (Wadala)/Dhule :

- On-site - Transport Control Room / Depot_

Reports To :Operations Manager - Logistics

Works in close coordination with : Operations Manager - Logistics/ Head - Business Development

We are seeking a proactive and detail-oriented supervisor to handle day-to-day trip coordination and dispatch of petroleum transport trucks across India. This role is responsible for assigning trucks as per pre-approved contracts, ensuring timely placement at oil terminals, and actively tracking vehicle movements via the Fleet Management System (FMS) and GPS.

Key Responsibilities

1. Order Entry & Truck Assignment via FMS

- Ensure truck details, driver information, and trip plans are correctly updated in the FMS.

2. Truck Placement at Oil Terminals

- Ensure trucks are placed at designated terminals on time as per client requirements.
- Coordinate with terminal loading supervisors to confirm loading slots and inspection readiness.
- Confirm pre-loading checks (cleanliness, seals, compliance) and post-loading documentation (loading slips, gate passes, invoices) are in order.

3. Trip Execution & GPS Tracking

- Use the GPS-enabled Fleet Management System to monitor truck movements during the trip.
- Ensure timely departure after loading and uninterrupted transit toward client delivery points.
- Proactively follow up with drivers and raise alerts in case of delays, route deviations, or vehicle idling.

5. Client Communication Support

- Share truck dispatch details (vehicle number, driver contact, ETA)



with clients as per standard operating procedure.
- Provide updates on any deviations, hold-ups, or delays in transit and assist in real-time resolution.

6. Documentation & Reporting

- Maintain detailed records of all assigned trips, including order IDs, truck numbers, driver details, loading/unloading times, and POD status.
- Submit daily reports to the Operations Manager summarizing trip planning, vehicle deployment, and delivery performance.

Key Requirements

Education :

- 12th or diploma in Logistics, Supply Chain Management, or related discipline.

Experience :

- 2-5 years of experience in logistics coordination or fleet dispatching, preferably in petroleum logistics.

Skills & Competencies :

- Proficiency in MS Excel, transport software, and mobile-based communication (WhatsApp, calls).
- Strong multitasking ability, communication skills, and real-time problem-solving mindset.
- Understanding of transport safety and compliance practices in petroleum logistics.

Work Environment :

- Real-time communication and coordination setting
- Requires flexibility to work in shifts, weekends, and during peak dispatch hours
